Meet the Team: 

Provides support to the legal department primarily in the area of patents and intellectual property, but also may assist with a broad range of other matters including, entity management, M&A transactions, compliance matters, 
and contract preparation and management. Ability to work quickly and effectively in a dynamic team environment and possesses a passion for tackling new projects and acquiring new skill sets.

What you'll do

  • Maintains and updates patent docketing system, including tracking filing dates, deadlines, and maintenance fees.

  • Conducts intellectual property research and analysis to support patent strategy and decision making

  • Supports patent-related administrative tasks, including budget and billing activities, document management, and correspondence management.

  • Provides support for contract reviews and management and assists with the creation and maintenance of databases, trackers, and calendars regarding legal and compliance tasks, project-related deadlines, compliance filings, draft minutes of corporate meetings, and internal recordkeeping.

  • Manages and administers confidential and control items such as collection of e-Signatures and agreement executions, updates, and terminations and assists the team with special projects and maintenance of physical and electronic records.

  • Prepares and maintains corporate documents and regulatory filings and assists in the development, generation, maintenance, and refinement of forms, processes, and procedures essential to the Company’s legal and compliance functions.

  • Conducts basic fact finding and investigation work, and legal and business research.

  • Assists with reporting through data collection and initial report production manages legal fees and outside counsel budgets.

  • Provides administrative support to the legal department such as maintaining calendars, making travel arrangements, drafting correspondence, preparing documents and presentations, copying, handling faxes, packaging and mailing sensitive documents, and managing departmental mail and phone calls.

  • Arrange, prepare, and handle logistics for meetings, receiving visitors, etc., including coordinating meeting dates/times and space, preparing and distributing reports, displays, assist with transcribing to boards, and serve as support for office environment including tables/chairs, food/drink, lighting, and technology tools such as AV equipment, etc.

  • Assist in maintaining financial paperwork such as organizing receipts, completing expense and mileage reports, reconciling financial statements and expense reports as needed. Notify general counsel of any budget and spending concerns.

  • Ensure the offices and meeting spaces comply with environmental, security, cleanliness and sanitation standards, and meeting spaces are stocked with office supplies. Communicate any needs to the executive assistant, facilities, or other appropriate personnel for maintenance when needed

What you’ll need to Succeed: 

  • Bachelor’s degree required in Paralegal Studies or related field of study. Master’s degree is a plus
  • Industry recognized certification such as Certified Paralegal (CP or AP) from the National Associate of Legal Assistants (NALA), Advanced Specialty certification from the National Federation of Paralegal Association, or American Alliance of Paralegals (AACP) preferred
  • 6+ years of experience working in a legal office assisting attorneys, including at least 3+ years of experience working with a patent docketing system.
  • Strong research, contract, and document administration, and report-generating skills.
  • Position requires transportation to locations outside the main complex
