About the role

This is a remote position.

Schedule : Monday to Friday, between 9 AM to 6 PM | Eastern Daylight Time Job Overview: As a  Spanish Bilingual Admin Assistant , you will be responsible for managing incoming and outgoing calls to our clients. You will work closely with our team to ensure that our clients receive exceptional service and support. The ideal candidate will have excellent communication skills, be detail-oriented, and be able to work in a fast-paced environment. Responsibilities:
  • Schedule appointments and coordinate calendars (business and personal)
  • Set up meetings via Zoom/ Teams, attend them, and take notes.
  • Manage email correspondence and phone messages.
  • Book business travel and family vacations
  • Organize speaking engagements.
  • Create expense reports.
  • Make restaurant reservations.
  • Do online shopping and overseas deliveries.
  • Pay personal and business bills.
  • Keep track of business and personal licenses
  • Buy gifts and send holiday cards.
  • Plan large events
  • Research, hire, and supervise vendors and contractors for projects, as needed.
  • Keep the Employer updated on the progress of projects.
  • Manage philanthropic interests.
  • Create and post to social media.
  • Assist with wine-making activities and objectives for the company, such as collaborating with Wineries, collecting their information to share during educational classes.
  • You assist in setting up educational tastings and tours of the wine facility.
  • You assist in supervising the operations for grape delivery during harvest, bottling supplies, and organizing pick and delivery.
  • Your duties include preparing invoices and conducting bulk and bottled wine inventory.
  • You assist with the warehouse and ensure a consistent supply of products.
  • Overseas online ordering of products and inventory
  • Communicate with current vendors and work to collaborate with new vendors to showcase and carry our products.

Requirements

  • High school diploma or equivalent; Associate’s degree preferred
  • 2+ years of experience in administrative or customer service roles
  • Excellent communication skills, both written and verbal
  • Strong organizational and time management skills
  • Proficient in Microsoft Office Suite (Word, Excel, and PowerPoint)
  • Ability to multitask and work in a fast-paced environment
  • Detail-oriented and able to maintain accuracy while working under pressure
  • Knowledgeable about wines is a plus
