Summary: 

Will assist with general admin needs of the Assertive Community Treatment team per the fidelity model. Duties include but are not limited to assisting with record keeping, scanning and uploading client documents, assisting with new staff onboarding responsibilities, as well as coordinating miscellaneous tasks with the team, clients etc. A program/administrative assistant who is responsible for organizing, coordinating, and monitoring all non-clinical operations of ACT, including managing medical records; operating and coordinating the management information system; maintaining accounting and budget records for individual and program expenditures; and providing receptionist activities, including triaging calls and coordinating communication between the team and individual.

No supervisory responsibilities. 


Essential Functions:

  • Assist the ACT/CST team per fidelity model such as faxing, scheduling and following up with appointments for clients, keeping client files organized, ensuring consents are up-to-date, and contacting insurance companies. 
  • Maintain client records in the mental health ECR system by scanning and organizing client documents into appropriate locations within the system. 
  • Creating/maintaining client files and maintaining compliance with ADA, DHS, CARF, and other governmental regulations. 
  • Will assist with new staff onboarding responsibilities.
  • Responsible for creating/maintaining staff electronic files and overseeing mandatory training compliance.
  • Provide community base work as needed.
  • All other duties as assigned.

  • Inform Supervisor of any condition that impacts the safety and wellbeing of clients served. Seek assistance as necessary to mitigate risk. Seek out Supervision as needed.
  • Maintain confidentiality according to the Illinois Mental Health code and Confidentiality Act always.
  • Respond sensitively to the diverse populations of the agency, including persons with disabilities and/or mental health issues. 
  • Attend all meetings and training courses as requested by the Director and/or supervisor.
  • Arrive at work, meetings, and all work-related functions on time. Report any absence, tardiness, or schedule change to supervisor as soon as possible. Maintain appropriate attendance record using Paylocity. 


Requirements

QUALIFICATIONS: 

  • Must have a High School diploma or GED with 3+ years clerical experience. 
  • Must have reliable transportation. 
  • Must pass required criminal background check. 
  • Must demonstrate excellent verbal/written communication skills.  
  • Must have strong computer, time-management, and organizational skills. 
  • Must be able to work collaboratively with multiple programs/staffs.
