Job Description

This is a 39-week academic year position with an anticipated start-date of early August

Perform a range of administrative support, clinical tasks, and direct student care that support the overall functioning of all Schacht Center
departments (Health Services, Counseling, Psychiatry, and Wellness). Perform duties at the highest level allowed by relevant personal licensure
and certifications and within the parameters established by clinic policy and procedure. Contribute to a positive work environment through clear
communication, collaborative engagement with colleagues, and quality care of students.

Take appropriate actions to support a diverse workforce and student population and participate in the College's efforts to create a respectful, inclusive, and welcoming work environment.

Administrative Support Responsibilities (50%)

  • Assist in obtaining and preparation of prior authorization forms. Monitor lab/insurance denials and problem solve to minimize denials.
  • Assist medical providers in health services and psychiatry with prescriptions and refills as needed.
  • Answer incoming phone calls on a multi-line telephone. Take and route electronic message to clinic staff.
  • Send medical referrals and assist students with insurance information and billing inquiries.
  • Greet and check-in students as they arrive for their appointment. Schedule appointments by telephone and in person. Update patient
  • demographics and insurance information.
  • Effectively communicate, support, and interact with a diverse range of students and staff with attention to student confidentiality.
  • Copy, fax, and scan documents according to HIPAA guidelines.
  • Assist with processing release of information requests, forwarding/sharing protected health information, and completion of forms/requisitions.
  • Review vaccine records and new student health forms to ensure compliance with applicable state and college requirements.
  • Participate in scheduled team meetings.
  • Process specialist referrals and ensure timely receipt of progress notes.
  • Perform other duties as assigned.


Clinical Responsibilities (50%)

  • Provide patient care using team based approach.
  • Perform and document appropriate vital signs and point of care tests as needed for clinical appointments.
  • Prepare patient for appointment using rooming criteria.
  • Maintain medical supplies. Clean and restock exam rooms.
  • Triage walk-in patients and emergencies when nurses or mental health providers are not available.
  • Maintain medical equipment, report any malfunction to Director of Medical Operations or staff nurse. Operate sterilizer and sterilize equipment as
  • needed.
  • General support of laboratory services; share in lab coverage as needed and if able according to individual licensure and certification.


Minimum Qualifications (knowledge, skills, education, experience, certifications, licenses)

  • Working knowledge of basic medical and mental health clinic practices, operations, techniques, equipment, and terminology.
  • Basic knowledge of health insurance and processes.
  • Basic computer skills and ability to work with electronic medical record software.
  • Experience working with individuals from diverse backgrounds.
  • Associates degree from an accredited Medical Assistant program OR 2 or more years of equivalent medical office experience.
  • CPR certification (may be obtained or renewed in course of employment). Proven experience working with diverse constituencies.
  • A commitment to the core values of the college, student affairs division, and Schacht Center.

Preferred Qualifications

  • Certification in phlebotomy.
  • Experience crisis management and support of those with mental health struggles.
  • Experience in higher education or another institutional setting.
  • Medical Assistant certification preferred.
