GENERAL SUMMARY

Works under the supervision of the Office Manager. The Lead Medical Office Assistant's primary job function is to assist the manager by coordinating the day-to-day operations of the Medical Office Assistants. Performs clerical duties associated with the registration of patients, tracking, logging patient visits and assures all managed care patients receive proper pre-certification/authorization prior to their appointment. Communicates effectively with others. Performs other duties as assigned.

QUALIFICATIONS

Education:

• High School Diploma or successful completion of an equivalent High School Exam Required

Licensure:

• BLS within 90 days of hire required

Experience:

• Medical office and computer experience preferred.

JOB SPECIFIC DUTIES AND PERFORMANCE EXPECTATIONS

The following is a summary of the major job duties of this job. Other duties may be performed, both major and minor, which are not mentioned below. Specific activities may change from time to time. 

1. Assists the Manager with staff assignments for the MOA staff and makes workflow decisions to ensure efficient front office operation.

2. Coordinates and participates as needed in orientation of new employees. Completes staff competency checklists. Assists in developing educational needs for the MOA staff.

3. Monitors daily productivity of the MOA staff.

4. Performs routine registration of patient—ensuring patient information is updated including address changes and insurance updates.

5. Verifies insurance eligibility by obtaining copies of patients' insurance cards—ensuring the accuracy of the registration forms.

6. Demonstrates a thorough knowledge of all computer fields (i.e., demographics, insurance screen, etc.), and insurance companies.

7. Answers multi-line phones and schedules appointments.

8. Collects patient payments and maintains a balanced cash drawer.

9. Schedules referrals and outpatient testing/procedures.

10. Registers new patients from referrals and contacts patients' referring providers with appointment.

11. Verifies insurance benefits and obtains proper authorization and certification for appointments and procedures.

12. Collaborates with the Physician Billing Department to resolve billing issues.

13. Assists in the coordination of care for the patient in collaboration with other members of the health care team to meet the health care needs of the patient.

14. Pre-cleans, decontaminates, and transports contaminated instruments according to policy

15. Follows medical record documentation procedure as detailed in the MCF Documentation Assistant policy.

16. Assists the provider in navigating the medical record.

17. Present during the provider’s performance of a clinical service and documents (on behalf of the provider) everything said during the course of the service.

18. Assists manager by creating and/or maintaining employee schedules and managing call offs, when appropriate. May assist manager with the API approval process.

19. Assists with day-to-day operational decisions when appropriate, escalates to manager when out of scope.

20. Provides front line coverage for call when covering a shift, escalates to manager when appropriate.

21. Assists manager in completing Introductory Competency Checklists and/or Performance Appraisals, if delegated by the manager.

22. Assists the manager with the interview process and provides input to applicant selections.

23. Assists manager by giving on the spot coaching and correction as well as provides the manager with feedback on any issues/progress.

24. Serves as the front-line resource to staff for incidents and/or complaints. Submits incidents/complaints in Incident Manager system and keeps manager informed.

25. May assist manager in completing PREPs, if delegated by the manager.

26. Participates in the planning and discussion phase to prepare

27. Assists manager by working through API, making call-off/call-in decisions within scope and participates in the budgeting process with manager.

28. Performs other duties as assigned.
