Your Role At A Glance
The Administrative Lead and Sales Coordinator plays a critical role in ensuring the smooth operation of office environments, supporting sales administration, and maintaining compliance with Environmental Health and Safety (EHS) standards. This position oversees day-to-day administrative functions, manages onsite facilities, and coordinates regional activities to optimize operational efficiency. The role also supports sales processes by handling customer inquiries, managing CRM records, and collaborating with cross-functional teams. Strong leadership, attention to detail, and the ability to work collaboratively across departments are essential to success in this role, especially in crisis management and interdepartmental coordination.
*Must be within driving distance of Tolland, CT. Role will require occasional travel to Sterling, MA*
How You’ll Drive Success
Oversee Administrative Functions
- Manage and coordinate office administrative tasks, ensuring consistency and efficiency.
- Ensure the office is stocked, as needed, with appropriate office supplies and consumables such as coffee, paper towels, etc.
- Work with regional offices to coordinate deliveries, maintenance work, and other necessary activities to ensure each office is running optimally.
- Provide regular updates and reports to upper management on operational performance and regional activities.
- Coordinate events at regional offices including but not limited to customer-facing trainings, and business unit partner trainings.
Sales Administrative Functions
- Provide software license codes to customers upon confirmation of paid invoices.
- Respond to customer inquiries regarding software code extensions and payment status.
- Collaborate with the Territory team and our customers to facilitate administrative tasks such as customer name changes and PO vendor setup forms.
- Maintain and update customer records accurately within CRM systems.
- Coordinate with Order Processors, Account Managers, and Finance teams to support sales-related administrative functions.
Onsite Facilities & EHS
- Emergency Preparedness and Response: Implement evacuation plans and procedures.
- Conduct annual safety drills.
- Health and Safety Compliance: Ensure compliance with OSHA and other relevant health and safety regulations.
- Conduct quarterly safety inspections. Implement corrective actions if necessary.
Interdepartmental Collaboration
- Foster communication and collaboration among different departments to achieve regional goals and maintain a positive working environment.
- Coordinate with various departments to ensure seamless integration of services and optimal use of resources.
Crisis Management
- Handle emergency situations or crises, implementing contingency plans and coordinating with relevant stakeholders to mitigate impacts.
- Address and resolve any operational issues or conflicts in a timely manner, ensuring minimal disruption to overall operations.
- Performs other duties as assigned.

Education
- Degree in Business Administration, Public Administration, Management, or a related field. Relevant experience may be considered in lieu of formal education.
Required Skills and Experience
- 5+ years of progressive experience in a sales support role, with a strong focus on administrative operations and process optimization.
- Proficiency with Office 365 (Teams, Word, Excel, Outlook, PowerPoint), with a strong willingness to learn and adapt to new systems.
- Leadership Skills: Strong leadership and team management abilities to guide and inspire the territory team.
- Analytical Skills: Ability to analyze data and make informed decisions to drive regional performance.
- Communication Skills: Excellent verbal and written communication skills to effectively convey information and collaborate with stakeholders.
- Organizational Skills: Strong organizational and multitasking abilities to manage various administrative tasks efficiently.
- Problem-Solving Skills: Ability to handle crises and implement effective solutions to ensure smooth operations.
- Above average communication skills, both written and verbal, with the ability to provide accurate and timely information in a succinct and easy to understand manner.
- Proven time management skills and a track record of working in a team environment successfully supporting others.
Preferred Skills
- Working knowledge of CRM platforms, such as Salesforce.
- Familiarity with financial systems, such as NetSuite.
