About the role

The Behavioral Health Administrative Assistant shall provide primary clerical and administrative support to the Integrated Behavioral Health Program and its staff. This position often serves as the first point of contact for patients connecting to behavioral health and is an essential role for the operations of the program.

Tiburcio Vasquez Health Center is a non-profit community health center that is dedicated to promoting the health and well-being of our community by providing accessible, high-quality care by integrating primary care, dental care, WIC support, mental health counseling, community health education, and more.

This is a full-time position working 40 hours per week, typically Monday through Friday with periodic Saturday hours.

Responsibilities

  • Performs day-to-day administrative functions and general office duties including but not limited to word processing, copying, filing, scanning, and data entry.
  • Participates in, records and prepares minutes of program meetings along with preparing the agenda and monthly IBHP calendar. Makes arrangements and prepares, or supervises preparation of necessary materials for meetings along with room reservations
  • Acts as first point of contact for this program, has knowledge of all TVHC services and community resources.
  • Responsible for the day-to-day telephone communication with patients, staff and outside community, wherein the AA answers, screens, and routes calls to appropriate staff and provides community resources as needed.
  • Coordinates patient appointments and scheduling templates in EPIC. Responsible for coordinating and managing patient wait lists.
  • Responsible for coordinating distribution of consent forms with clinicians, registering patients and verifying  patient insurance.
  • Maintains confidentiality and adheres to all HIPAA regulations.
  • Documents all encounters in a timely manner and in accordance to TVHC and program standards.
  • Orders supplies according to established TVHC, Inc. procedures, receives and organizes all merchandise and compares order with purchase order for correctness, maintains file of purchase orders, processes invoices for payment, maintains control logs and coding system as requested by the Behavioral Health Director.
  • Develops and maintains program files, including closed cases in accordance with funding standards and directives.
  • Perform weekly non-clinical audits of clinical documentation and coordinates with QA to follow-through and correct documentation, if needed.
  • Act as point contact for Behavioral Health Credentialing and collaborates with the Credentialing department to ensure compliance with new and current employee credentialing documents.
  • Receives, opens, clears and distributes the center business mail.
  • Performs other related duties as required.

Requirements

  • Bilingual, English/Spanish required.
  • AA degree in Business Administration or related field from an accredited institution or equivalent experience preferred.
  • Minimum two years previous office experience, in administrative assistant capacity preferred.
  • Intermediate or advanced computer skills; experience using MS Word, Excel, and PowerPoint preferred.
  • Knowledge of, and experience with Medi-Cal, Medi-Cal HMO, and Medicare insurance highly preferred.
  • Experience working with Non-Profit agencies or in healthcare preferred.
