Job Summary
The Executive Assistant works closely with the Chief Distribution Officer and Executive Team to provide comprehensive administrative management and support to better serve our high net-worth clients and their advisors. This highly visible position plays an integral role in our commitment to offering a highly personalized service to our customers.As a trusted partner to the CDO, this position requires the highest level of confidentiality and attention to detail, as well as a high degree of professionalism, quick problem-solving, multi-tasking and excellent verbal and written skills. We are looking for a self-starter that thrives in an ever-changing and fast-paced environment, coupled with a passion for elevating their executive’s success.
Job Description
General Duties
• Management of the CDO’s calendar. Includes prioritization of meetings and managing scheduling conflicts, as well as communicating changes to all parties.
• Ensure CDO is prepared for meetings including material preparation, distribution, and schedule adherence. Highlight important information and/or questions the parties may have. Obtain appropriate support for virtual attendees as well as various media needs and other logistics.
• Will assist with event planning (virtual and in person) for business meetings
• Provide phone coverage and screen/triage calls and voice mail. Greet and assist guests and manage unannounced visitors.
• Flexibility with various added projects/duties, as needed, that are for the benefit of the overall organization and that assist in keeping the CDO highly organized
• Provide oversight of office supplies and orders appropriate inventory levels
• Responsible for assisting in routine administrative tasks related to the business operations
• Will be required to cross-train with other departments to “jump in” when needed
Qualifications
• Ability to work at a fast pace
• Skillset in software applications such as Salesforce, Microsoft Word, Excel, PowerPoint, etc. Advanced PowerPoint and intermediate Excel preferred.
• Knowledge and ability to work with virtual meeting applications (Zoom, Teams, Webex, etc)
• Ability to make decisions or solve problems by using logic to identify key facts, explore alternatives, and propose appropriate solutions
• Strong organizational skills and attention to detail; project management experience desired
• Excellent verbal and written skills – use of proper grammar, spelling and punctuation when reviewing and/or editing documents for accuracy and completeness is essential
• Clear and concise communicator
• Team player with strong interpersonal and resource management skills
• Ability to be proactive in high paced environment
• Executive presence
• Associate degree (or equivalent) and a minimum of five years of Executive support experience. Prior experience with financial services firm strongly preferred
