Purpose
The Financial Administrative Associate plays a key role in supporting the operational, financial, and administrative functions of the Microelectronics Research Center (MRCF) core facility. This position ensures the smooth execution of procurement, billing, inventory management, and user support processes that enable the core facility to support the University's research and educational mission.
Responsibilities
Procurement and Inventory Management
Manages procurement processes, including equipment and materials for cleanroom and lab use.
Communicates with vendors and stakeholders, processes purchase orders (UT Market, Point Plus, etc.) and payment vouchers, maintains appropriate documentation, and tracks expenses.
Maintains and manages inventory processes and annual equipment certification.
Identifies new equipment and coordinates documentation with inventory contacts for tagging and reporting.
Financial Operations
Proactively manages the billing of monthly user charges, including processing deposits from external users.
Oversees Procard management, including compiling receipts, updating Procard logs, and processing vouchers.
Processes travel authorizations, travel reimbursements, e-ship global and entertainment vouchers.
Process contracts and coordinate MRC agreements with external users.
Administrative Facility Support
Provides professional, friendly front-office support for the MRC core facility including answering incoming emails, phone calls and assisting facility users.
Provides a general overview of the facility services and operational processes to new staff as well as potential facility users.
Submits facility access permissions and processes requests for IDs/Tags.
Coordinates facility scheduling and operational communications on UT platforms for the MRC core facility.
Assists safety training process for facility operational readiness and safety compliance standard operational procedures (SOP).
Required Qualifications
Bachelor’s degree and at least 3 years of administrative experience or a High School Diploma or GED plus at least 7 years of administrative experience.
Demonstrated strong organizational, communication, and problem-solving skills.
Ability to work independently, prioritize tasks, and proactively identify areas for improvement.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
At least 3 years of financial experience including reporting, tracking, invoicing, and reconciliation of accounts.
