Position Overview
We are seeking an Human Resources Assistant that is enthusiastic, organized, high-energy, and has one to three years of relevant experience. The ideal candidate will have experience with new employee set up, on boarding, and some familiarity with payroll. Qualified candidates must have strong communication, analytical, follow up skills and attention to detail. Successful candidates will be tasked with assisting in day-to-day HR Administrative support for an IT Professional Services organization including onboarding employees, being a back up for payroll and assisting with training and career management programs. This person will provide administrative support on various HR programs and initiatives. This will include maintaining accurate reports and assisting on various administrative duties.
A successful candidate will demonstrate initiative and self-direction in fast paced, growth oriented company. This person must have an assertive personality, positive attitude, a sense of urgency and the ability to prioritize tasks. We prefer someone with 1+ years of relevant HR experience, but would consider a recent college graduate with transferable skills and the aptitude to learn and grow quickly. Strong organizational skills and the ability to build a effective working relationship with employees is imperative.
- This hybrid position will report to our Midtown Manhattan Office in New York City approximately 3 to 4 days per week. This person will be expected to work in their Iselin, NJ office 2+ days a month, or as needed. Some occasional overtime may be required.
- This is a full-time position offering a competitive salary in the $60K to $75K range depending on experience, paid overtime, and other compensation.
Responsibilities
- Meet with and set up part time employees and new hires including completing onboarding, checking for accuracy and ensuring all proper paperwork is in place
- Maintain personnel files and coordinate with payroll as needed
- Assist with various Human Resources Projects and initiatives
- Help with scheduling training and coordinating our Career Management Programs
- Administer employee programs and facilitate employee social events
- Help with setting up new hires, collecting time sheets and work with payroll to ensure accuracy
- Coordinate career meetings as needed (booking conference rooms, teleconferences, catering, etc.)
- Provide administrative support to the HR team - Assist with the administration of projects, including acting as scribe and transcribing meeting minutes, making updates to budget and project plans, monitoring job costing sheets, etc.
- Prepare reports, by collecting and analyzing information using Visio, Power Point, Word, Excel, and Access & SharePoint
- Attend meetings and events, take notes, and coordinate follow up activities and deliverables
- Update phone lists, company directory and other internal documents
- Vacation, personal day and sick time tracking
Qualifications
- BA / BS degree is preferred, but not required, and 1 to 3 years of relevant HR Assistant experience is preferred
- 1 to 3 years of relevant experience in an office management, administrative support, HR assistant, or an account payable / accounts receivable (AR / AP) role in a fast paced work environment would be considered
- Some HR experience specifically including onboarding new hires, payroll processing, or assisting with new hire paperwork is required
- Superior multi-tasking and organizational skills, must have the ability to manage multiple priorities and deliverables
