The Executive Assistant will provide primary support to the Vice President of Sustainability, Responsibility, Trade and Government Affairs, along with two other senior level leaders and the broader global team at large. In this role, you will act as a confidant to senior level leaders and need tomust easily adapt to changing individual and business needs.
The Executive Assistant must be proactive, creative and enjoy working within a matrixed, global environment that is results-oriented and values-driven. The ideal candidate will have the ability to exercise excellent judgment and high confidentiality in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant must be able to work under pressure, in a highly visible role, at times to handle a wide variety of activities and some highly confidential matters with discretion.
Specific Responsibilities
- Completes daily administrative tasks that include expert calendar management, detailed and complex travel coordination (both domestic and international), expense reporting and creation and management of various correspondence, reports, and presentations.
- Serves as the liaison between executives, managers and other internal and external stakeholders as required. Reviews requests and schedules appointments, interviews, and meetings.
- Partners with finance to manage the complex global team budget, ensuring accuracy in reporting and reconciliation of fiscal year YTD versus YTG on approved budget for project owners. Assists with monthly forecast updates and other financial reporting.
- Enters and/or approves department bills as needed to ensure timely payment for professional services and vendors.
- Streamlines internal processes and systems to improve communication and internal culture on the team.
- Corresponds with a variety of stakeholders (internal and external) in a highly responsive and professional manner while handling highly confidential information.
- Researches, prioritizes, and follows up on incoming issues and concerns as requested; respond or bring issues forward as appropriate.
- Plans, coordinates, and ensures the Executive’s schedule is followed and respected. Provide "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Executives’ time.
- Maintains highly professional and effective relationships with other Executive Assistants across the company to ensure smooth communication and coordination across the enterprise.
- Assists with meeting planning and set up; schedules conference rooms, orders catering, secures technology and other resources as required.
- Develops and maintains good working relationships throughout the organization by exhibiting outstanding customer service skills with all internal and external stakeholders.
- Performs these and other departmental duties as assigned.
Qualifications
- College degree or equivalent combination of education and work experience is preferred.
- Ideally will have 5 years of executive administrative experience in a professional business environment or a background in travel or hospitality.
- Must be highly professional, approachable, and proactive with strong initiative and multi-taskings abilities.

- Strong PC skills (M/S Word, Excel, PPT)
Incentive Potential: This position is eligible for additional compensation awards that may include an annual incentive plan, sales incentive, or commission potential.
