This Legal Technology and Operations Analyst position will report to the Legal Technology and Operations Director. The individual in this role will be focused on providing excellent support to the Legal team and key stakeholders of Legal while efficiently delivering support to improve the value of Legal to the broader organization.
What you will be doing:
• Document and File Management: Identifies and builds solutions for improving overall document and file management across the Legal, Compliance, Risk, and Internal Audit organizations to enhance centralization, accessibility, searchability, and more. This includes development and maintenance of SharePoint sites and Microsoft Teams / Channels, as well as guidance documentation to enhance user experience.
• Onboarding Support: Creates strategies, processes, and support documentation for onboarding of new team members across the Legal, Compliance, and Risk teams, including setup of permissions, access to identified systems / tools, and orientation of key resources for new hire.
• Contracts Management: Supports efficient contracts management processes that mitigates risk and enables business growth while effectively leveraging technology (e.g., CLM system). Provides administrative support related to system maintenance / improvements, template changes, and functionality enhancements (e.g., playbook development, template consolidation, etc.). Helps develop and deliver training to Legal team on new system changes or processes related to CLM.
• Legal Functional Assessment: Perform analysis required for ongoing assessment of legal functions to improve efficiency, effectiveness, and cost savings. Identify recommendations for improvement based on analysis and support implementation of improvement initiatives, including measurement of impact.
• Outside Counsel Management: Conducts ongoing data analysis of outside counsel spend. Provide support in identifying strategies for decreasing overall spend and improving outside counsel management year over year.
• Process Optimization: Develops knowledge of key processes across Legal, Compliance, and Risk groups. Supports and/or leads efforts to engage with team members to identity bottlenecks in current workflows and prioritize areas of opportunity for workload optimization.
• Legal Work Intake: Supports the design, development, and management of a centralized method of intake for legal service requests.
• Legal Technology: Provides support in identifying new tools, technology, or processes that improve the overall process efficiency through automation or optimization. Helps investigate existing system issues and identifies solutions or facilitates resolution with system owner(s) as needed. Creates and maintains training materials to provide technical support to legal teammates on new tools and procedures.
• Metrics & Reporting: Help create reports and dashboards showing metrics and trends on key data points aligned with the legal department objectives and plans, as well as overall department effectiveness and efficiency.
• Completes project assignments and special projects commensurate with job expectations.
• Other related duties assigned as needed.
What you will bring:
• Bachelor’s degree or the equivalent combination of education, training, or work experience.
• Excellent oral and written communication skills.
• Proficiency with Microsoft Office Suite and SharePoint
• Highly motivated with strong organizational skills, critical thinking, and problem-solving mindset.
• Ability to learn, manage, and teach others legal operations management systems and processes.
• Ability to analyze data and create succinct presentations tailored to the audience at hand.
• Demonstrated attention to detail with excellent time management and multitasking/prioritization abilities.
• Ability to handle heavy workload at times and meet critical deadlines.
• Ability to establish and maintain effective working relationships across teams.
