Job SummaryUnder general supervision, provides clinical office support to ensure patient satisfaction: schedules appointments, performs check-out functions; verifies insurance benefits; maintains various records and databases of information; prepares correspondence.
Job Duties
Performs office support for the clinical practice; answer phones; responds to inquiries; refers, routes or places calls; places patient follow-up calls; make copies and scan/fax documents.
Greets and assists visitors, patients, etc.; obtains initial patient information; places patient follow-up calls; route calls to nurse pool through Epic.
Provides registration, check-in, and check-out support in the clinic; troubleshoots patient issues with online check in or scheduling, schedules patient follow-up appointments and same day/next day testing.
Collections of copays or past due balances.
Reviews and maintains demographic and insurance information; obtains and issues referrals.
Performs insurance verifications and related tasks.
Data entry and customer service related to university immunization and health insurance policies.
Monitors and schedules from department’s referral queue and in-basket through Epic.
Researches and resolves patient referral problems; oversees operations to ensure patient satisfaction.
May collaborate with department leadership to ensure performance of daily activities.
Attends daily huddle, staff meetings, and interacts with clinical team.
Performs other duties as assigned.
Knowledge, Skills, and Abilities
Knowledge of medical terminology and procedures
Knowledge of insurance plans and referral procedures
Knowledge of office practices and procedures
Ability to operate various office equipment
Ability to operate personal computer with various software programs
Ability to respond to questions in a tactful and professional manner
Ability to work with constant interruptions
Ability to maintain records and files
Ability to maintain confidentiality
Excellent organizational and multitasking abilities.
Strong communication and interpersonal skills.
Ability to work effectively in a fast-paced environment, especially during peak periods of student activity.
Proficiency in using office software and EHR systems.
Minimum Qualifications
High school diploma or equivalent; supplemented with two (2) years of related work experience.
Previous experience in a medical office or patient care setting preferred.
Experience with electronic health records (EHR) EPIC system is a plus.
