This position reports directly to the Administrative Director and serves as a key member of the administrative and operations team at Home Base. In collaboration with two other administrative Managers, this role holds first-line responsibility for the supervision of one practice manager and 5-6 patient service coordinators supporting clinical and non-clinical programs. The Administrative Manager will take a lead role in ensuring that Home Base clinical practices and facilities are in line with Hospital standards and best practices, regulatory guidelines, and JAYCO/OHSA standards. This position will be responsible for supporting clinical efforts in the Outpatient clinic, Addiction Services and Family Services, as well as support non-clinical efforts of Veteran and Family Outreach. The Administrative Manager also acts as Manager Support for clinical program directors and other department leads. In this Support role, the responsibilities include assistance with staffing, hiring, HR transactions, financial transactions, and budgeting. This individual is responsible for developing and communicating space and staffing needs and potential solutions in a timely manner to leadership. They will also oversee the onboarding and credentialing process for clinical and administrative staff related to areas within their scope. The Administrative Manager also works closely with program leaders across the organization and collaborates frequently with program directors, finance, research, and Data & IT. Additionally, the Administrative Manager serves in a key role as an operational lead supporting the Administrative Director on special projects as needed and working in collaboration with other program staff. An experienced manager with exceptional communication, mentorship, organization, delegation, and problem-solving skills will be best positioned to succeed in this role.
Responsible for overseeing and coordinating administrative operations within a hospital office setting. This role ensures the efficient functioning of administrative processes, managing staff, and supporting the overall strategic goals of the hospital. This role also works closely with senior management to implement policies, enhance operational efficiency, and ensure compliance with healthcare regulations.
Essential Functions
Supervise and coordinate day-to-day administrative functions and office operations.
Develop, implement, and monitor administrative procedures and policies to enhance efficiency and effectiveness.
Oversee and manage administrative staff, including hiring, training, scheduling, and performance evaluations.
Provide guidance and support to staff in resolving operational issues and ensuring adherence to hospital policies.
Ensure that administrative practices comply with hospital policies, healthcare regulations, and accreditation standards.
Address and resolve complex administrative issues and patient concerns with professionalism and efficiency.

Responsibilities include:
- Assists Administrative Director with the establishment and implementation of systems and procedures
- Establishes and monitors monthly program dashboards and ensures regular collection of program data for dedicated programs as well as other programs at the direction of leadership; monitors statistics to evaluate performance and facilitate strategies for improvement
