Job Description

Basic Purpose

  • This position serves as the Primary Receptionist to the program and will be located in the Administration office.  Provides administrative and clericle support and office management to Post Residential department of the Thunderbird Challenge Program.  Manages correspondence and calendars.    Provides technical advice on correspondence, reports and documents for distribution.  Manages Program files; Provide administrative support to program departments as assigned. Provide support for cadet orientations/interviews, class in processing, and graduation as assigned. Answers incoming phone calls, provides response to questions, and redirects calls as necessary.    

Typical Functions

  • Develops and maintains confidential or complex files.
  • Answers and directs phone calls, takes messages, handles correspondence and greets and supports visitors.
  • Coordinates activities with internal and external customers.
  • Handles incoming and outgoing mail.
  • Assists with file room and mail room.
  • Orders, stores, and maintains office supplies and equipment
  • Enters and retrieves information using computer or other data processing equipment and reviews data and makes corrections.
  • Assists with processing mentor applications and completing related files
  • Attends program and department specific training as required.

Level Descriptor

Education and Experience

Two (2) years of clerical work and high school diploma or GED required

Knowledge, Skills, Abilities, and Competencies

Knowledge of the procedures and techniques of business communications, methods and procedures. Knowledge of administrative survey techniques and skill in their applications; some knowledge of statistical research methods; knowledge of technology and ability to use it to maximize efficiency and services; conscientious commitment and willingness to provide courteous, consistent, efficient service through the performance of the prescribed job duties and ability to exercise good judgment in analyzing situations and making decisions.

    • Sitting for long periods of time
    • Typing for long periods of time
    • Able to lift minimum of 15 pounds
