    Job Description

    The Executive Assistant of IT Ops is responsible for supporting the Vice President of Information Security and the Information Security department with day-to-day operational functions utilized by Wynn. This role will work under the general direction of the Vice President. This role will be the point of contact and liaison for the Information Security department.

    Responsibilities:

    • Reporting directly to the Vice President of Information Security and provide administrative support and office management to the Information Security and Risk Management departments of Wynn.
    • Responsible for greeting visitors, vendors and contractors.  You will need to ensure they are granted access to the building and directed to the appropriate meetings.
    • Answering the Vice President of Information Security’s phone calls, taking detailed messages and ensure they are handled appropriately.
    • Schedules appointments and maintains calendar for Vice President of Information Security.
    • Arranges meetings and makes travel arrangements for Vice President of Information Security and other Directors, employees as requested.
    • Maintains a close and highly responsive relationship pertaining to Executives daily activities.
    • Interfaces with executives ensuring a high level of confidentiality and discretion.
    • Experience with Accounts Payable, Purchasing and Contracts responsibilities and functions. All Information Security invoices, Purchase Requests, Contracts, and Statement of Work will go through this role for entering into SharePoint and ensure they are routed to the appropriate Project Managers, Directors, Vice President and Chief Level Executives as required for signature.
    • Follow processes through inception to completion.
    • Assisting HR and Security by ensuring that IT submits the correct forms for new hire, contractors and vendors. Tracking the progress through Security, Human Resources and initiate Badging instructions.
    • Handles confidential files, materials, and correspondence
    • Gathers information to prepare reports and agendas as well as provides meeting minutes and other recording functions.
    • Provides specialized administrative support knowing when to take the initiative. Assist the Executive with complex details.  Coordinate and maintain effective office procedures and ensure an efficient workflow.
    • Has the proven ability to establish and maintain harmonious working relationships with all team members.
    • Represents the Information Security Department for HR Events and other functions that require coordination throughout the year.
    • Place Access, Computer and Telecommunications requests for new Team Members and Contractors.
    • Draft correspondence and compose communications.
    • Operates general office equipment to develop and prepare work such as computer, telephone, fax, copier, and scanning documents.
    • Responsible for placing office supply orders and Warehouse orders through MMS as needed. Previous experience with Warehouse ordering a plus +++
    • Distribute checks and processes expense, mileage, and other travel related reports.
    • Ensures all Vacation Requests are entered into Workbench and sent to Payroll.
    • Maintains all related employee files.
    • Generates Facilities requests that pertain to routine office requests and general maintenance. Assists with various inspections for the building.
    • Generates Building Access for Team Members and Contractors.
    • Distributes all related mail on a daily basis.

    Qualifications

    Skills & Knowledge:

    • Solid understanding and working knowledge of general office software such as Word, Excel, and PowerPoint.
    • Good understanding of office management, organization, and other business-related skills.
    • Strong customer service skills and ability to provide detailed information accurately and professionally.

    Requirements:

    • A minimum of 5 years Executive Secretary experience reporting to Vice President and Chief level Executives.
    • High degree of personal integrity and ethics.
    • Excellent written and oral communication skills
    • Detail oriented, self-motivated and disciplined, with excellent time management skills
    • Must be 21 years or older.
