Position Summary: The Administrative Assistant, helps to oversee and carry out day-to-day organizational tasks as well as facilitating efficient communication throughout our community. They also assist in answering phones, manage office tasks, scheduling of direct care staff, assist with the inputting of facility data and complete general clerical work and recordkeeping tasks.
Required Experience for Administrative Assistant:
- High School Diploma or GED preferred.
- Excellent written and verbal communication skills.
- Previous Healthcare, Geriatrics or experience working with the elderly population preferred.
- Previous experience as a nursing aide preferred.
- If certified, must be a licensed, State Tested Nursing Assistant in accordance with state laws.
Accountabilities for Administrative Assistant:
- Reports to Administrative team. Director of Nursing (DON) / Licensed Nursing Home Administrator (LNHA).
- Professional in attitude, demeanor, and dress.
- Good organizational skills and ability to work under pressure and meet deadlines.
- Flexibility and the ability to prioritize new tasks as they come in.
- Time management.
- Customer service.
- Utilize email according to company standards.
- Subject to frequent interruptions.
- Involved with residents, staff, visitors and vendors/associates under all conditions and circumstances.
- Subject to potentially upset residents, family members, associates, and visitors.
- Monday – Friday day hours, however, may have varied working hours to include days, evenings, weekends, and holidays as needed.
- Subject to callback during emergency conditions (severe weather, evacuation, post-disaster, etc.).
- Continuous physical movement.
Responsibilities for Administrative Assistant:
- Leads and provide 1440 care.
- Greeting visitors, assisting with infection control check in standards.
- Answering phone calls. Taking and delivering messages if needed.
- Sorting and distribution of mail.
- Act as an Ambassador for those rooms assigned.
- Scheduling of wellness staff according to staffing guidelines and/or acuity needs set by Director of Nursing.
- Interviews with potential new wellness staff, also assists with H.R. tasks such as onboarding, paperwork, employee files etc.
- Answer resident call signals as warranted.
- Assists with and helping to maintain nursing storage and restocking. Alerting the DON to low supplies if noted.
- Help maintain the personal dignity of each resident by ensuring privacy and treating them with respect. Understand and follow the Resident Bill of Rights.
- Greet newly moved-in residents on admission and escort them to their room as necessary.
- Complete Nurse Aide flow sheet during shift and according to instructions using only authorized abbreviations.
