Facility Access & Operations Assistant
The Facility Access & Operations Assistant will be responsible for maintaining building access per our access control and access security procedure. This individual will be the first impression of TerraPower to all vendors, visitors, contractors, and employees. This position will also assist with day-to-day office operations including: front desk, management of office and kitchen supplies and equipment, care and organization of conference rooms, common spaces, breakrooms, and copy rooms. This individual will be the direct point of contact for visitor management and processes. This role will support both our Bellevue headquarters and Everett locations.
Responsibilities
- Managing flow of the front desk, including greeting, assisting guests, and ensuring TerraPower facility access and security procedure(s) are followed.
- Assist with facility related tasks including requests from staff via our service desk portal JIRA.
- Assist meeting and event coordinator(s) with meeting logistics for TerraPower conference rooms including conference room scheduling, delivery of catering, set up and clean up conference rooms.
- Assist with on-boarding and off-boarding staff and directing guests or vendors to various areas within the facilities.
- Responsible for stocking, organizing and maintaining common areas, including regularly scheduled cleaning of refrigerators and appliances.
- Responsible for doing inventory in preparation for ordering supplies and food.
- Receipt and distribution of mail, including packages and inter-office mail, and assisting with shipping items.
- Assist with general facilities administrative tasks
- Flexibility to provide support at either campus, Bellevue (HQ) or Everett (Lab).
- Learn and understand the nature of the business to provide value-added service and enhance vendor relationships.
- This individual will assist with and be a part of the Emergency Response Team.
- Other facilities related duties as assigned.
Key Qualifications and Skills
- Two plus years of administrative/reception experience
- High school diploma required, with AA preferred. Equivalent experience will be accepted.
- Military and/or trade school is a plus.
- Very good oral and written communication skills
- Proficient in MS Word, Excel, Outlook, and PowerPoint
- Knowledge of JIRA service desk and Confluence is a plus.
- Proficient grammatical, editing, and proofreading skills
- Proficient organizational and prioritization skills
- Demonstrated skills in attention to detail
- Ability to problem-solve, prioritize, and be flexible
- Ability to conduct
