Essential Functions

  • Maintains an active calendar of appointments, scheduling and arrange meetings and provide reminders for designated senior/executive leaders.
  • Prepares and edits correspondence, communications, presentations, and other documents using Canva, PowerPoint.
  • Handles sensitive information with the highest level of confidentiality and discretion.
  • Plans, organizes, and executes corporate events, meetings, and conferences.
  • Coordinate event logistics, including venue selection, catering, transportation, and accommodations.
  • Prepare event budgets, track expenses, and ensure all events are delivered within budget.
  • Prepares Expense Reporting and billing of company expenses.
  • Collaborate with vendors and suppliers to ensure seamless execution of events.
  • Assists the Office Manager/Executive Assistant in managing office operations and ensuring the office runs smoothly.
  • Oversees inventory and ordering of office supplies, equipment maintenance, and other administrative tasks.
  • Supports the Office Manager/Executive Assistant in coordinating office-wide initiatives and projects.
  • Provides front desk coverage during breaks, lunches, or absences of the receptionist.
  • Greets visitors, answer incoming calls, and direct them to the appropriate departments or personnel.
  • Handles general inquiries and provides information about the company.
  • Manages incoming and outgoing mail and deliveries.
  • Assists in managing and tracking the progress of key projects and initiatives led by the COO and Sr. VP of Sales.
  • Prepares project updates, reports, and presentations
  • Coordinates with various departments to ensure timely completion of tasks and deliverables.
  • Drafts and distributes internal communications on behalf of the COO and Sr. VP of Sales.
  • Organizes and maintains files, records, and documents, both physical and electronic.
  • Assists the COO and Sr. VP of Sales and Office Manager/Executive Assistant with special projects as needed.
  • Conducts research and gathers data to support strategic initiatives and decision-making.
  • Prepares reports, summaries, and recommendations based on research and analysis.
  • Special projects and other duties as assigned.

    Required Education, Experience, Certifications and Licensure

    • Bachelor’s degree or higher in Business Administration, Communications or a related field preferred, or equivalent combination of education and experience with a
    • Minimum of five years in an administrative support role, preferably in a corporate environment.
    • Valid state issued driver’s license in good standing and acceptable driving record.

      Additional Eligibility Qualifications

      • Advanced knowledge of MS Office; including, but not limited to: Microsoft Word, Excel, Power Point and Outlook as well as Canva.
