OVERVIEW:
The primary function of this role is to assist the Executive Vice President - Store Experience & Design in meeting their goals by serving as a critical resource, support and sounding board to keep all initiatives and communications tracked and on time. Has a thorough understanding of the inner-workings of their function to ensure the EVP is supported on the most important and time-sensitive projects and strategies. Filter and respond to requests, draft communications, escalating when necessary, and share recommendations and insights.
Job Responsibilities:
Management of Operations:
• Draft agendas and presentations for executive meetings, gather pre-reads and submit. Create and manage priority tracker to ensure follow-up and completion.
• Attend EVP TB meetings and send follow-up notes to attendees. Follow-up on TB takeaways to ensure complete or in progress. Prior to EVP TB meetings reach out to teammates to ensure follow-up topics are on agenda and share new topics EVP may want to discuss.
• Stay current on executive meetings (ie. ELT, SLT) topics and strategies and track any follow-ups assigned to EVP.
Meeting Planning:
• Organize Offsite Meetings to include agenda drafting, coordinate presentations with the team, select venue and all details.
• Collaborate with presenters on agenda, presentation completion, organization, and pre-read deliverables. Ensure content aligns with EVP’s priorities and initiatives.
• Refine and edit presentation content as needed at EVP’s request
• Plan team events; invitation creation, venue selection, meal choices, support EVP as host for the event
• Uses discretion to Privatize meeting topic content based upon business needs, data sensitivity, and confidentiality
Administrative Support:
• Maintain EVP calendar and monitor email for high priority and time sensitive responses.
• Plan and coordinate travel arrangements for store and external partner visits.
• Approve EVP direct report expense reports, manage approval process for purchase orders and invoices.
• Manage organizational charts for EVP department.
• Manage EVP’s electronic signature.
• Screen phone calls for EVP.
• Coordinate setup of new hires in the department.
Special Projects and Technology:
• Manage virtual meeting folders
• Perform special projects at the direction of the EVP. ie. develop new hire gift packages, departmental apparel gifts
QUALIFICATIONS:
Bachelor's Degree - Business
7 - 10 Years of Experience - 8+ years of administrative experience for senior level management
