Reporting directly to the Chief Operating Officer (COO), the Executive Operations Specialist provides essential support to ensure smooth, efficient operations across both professional and personal domains. This role combines high-level administrative responsibilities with strategic coordination, serving as a critical link between the COO and internal and external stakeholders. The ideal candidate is exceptionally organized, proactive, and thrives in a fast-paced, dynamic environment. This hybrid position requires four days per week in our NYC office, located in the Iconic Empire State Building, to maintain a seamless, welcoming, and collaborative workspace.
What You’ll Do
As the Executive Operations Specialist, you will lead key work streams that include:
Executive Administrative Support
- Efficiently manage complex calendars, coordinate meetings, and adapt to shifting priorities, ensuring seamless scheduling and flexibility to support the dynamic needs of the Executive leader.
- Read and triage email correspondence, collaborate with COO on priorities and responses, and draft correspondence on behalf of the COO to ensure efficient and effective communication.
- Oversee and maintain the COO’s LinkedIn profile to ensure a consistent, professional, and engaging online presence.
- Coordinate domestic and international travel, managing all logistics and preparing comprehensive itineraries for both professional and personal purposes. This includes organizing travel and accommodations for international conferences such as Davos, Skoll, and similar events.
- Perform administrative duties, including credit card reconciliation and expense reporting.
- Provide personal support to the COO, including scheduling medical appointments and coordinating external commitments (e.g., board work, events).
- Provide logistical support to the COO for Echoing Green’s board related engagements such quarterly committee meetings, full board meetings, preparing materials, etc.
- Partner with the COO to maintain ongoing communication with board co-chairs, providing regular updates as needed.
Project Management
- Take ownership of high-impact projects and initiatives within the executive office, establishing project timelines, setting milestones, and ensuring tasks are completed on schedule and within scope.
- Maintain detailed project plans, track progress against goals, proactively identify potential roadblocks, and communicate updates to the COO to support informed decision-making.
- Act as a bridge to the Echoing Green network, supporting interactions with Fellows and social entrepreneurs, gathering insights, and fostering meaningful connections that align with the organization’s mission.
- Serve as the main liaison between the COO and internal teams, ensuring alignment and collaboration on strategic initiatives and providing clear communication on project requirements and deadlines.
