Responsibilities:Office Support: Provide general administrative support to the office, including answering phone calls, responding to emails, and handling mail and deliveries. Greet visitors and direct them to the appropriate personnel.Data Entry and Documentation: Assist with data entry tasks, such as updating contact databases, inputting information into spreadsheets, and maintaining filing systems. Prepare and organize documents, reports, and correspondence as needed.Scheduling and Coordination: Schedule appointments, meetings, and conference calls for team members. Coordinate meeting logistics, including room reservations, catering, and audiovisual equipment setup. Send meeting reminders and confirmations to attendees.Travel Arrangements: Assist with making travel arrangements for staff, including booking flights, hotels, and transportation. Prepare travel itineraries, expense reports, and reimbursement requests in a timely manner.Office Supplies and Inventory: Monitor office supply levels and place orders for replenishment as needed. Maintain inventory of office supplies and equipment, and coordinate repairs or maintenance as necessary.Assistance to Managers: Provide administrative support to managers and executives, including calendar management, expense tracking, and presentation preparation. Handle confidential and sensitive information with discretion and professionalism.Customer Service: Assist customers, clients, and vendors with inquiries, requests, and follow-ups in a courteous and timely manner. Address concerns and escalate issues to the appropriate personnel as needed.Ad Hoc Projects: Support special projects and initiatives as assigned by management. Conduct research, gather data, and prepare reports or presentations to support project objectives.Qualifications:High school diploma or equivalent. Associate degree or certification in Office Administration or related field is a plus.Strong computer skills, including proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).Excellent communication and interpersonal skills, with a friendly and professional demeanor.Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively.Ability to work independently with minimal supervision and collaborate as part of a team.Previous office or administrative experience is preferred but not required for entry-level candidates.Willingness to learn and adapt to new tasks and responsibilities.
