What You'll Do:
The Administrative Assistant is primarily responsible for providing administrative support to the Early Childhood and Camp Directors. The purpose of the role is to support the daily operations of running the Early Childhood and Summer Camp programs, enabling the Directors to focus on the priorities of the program(s).The ECC/Summer Camp Administrative Assistant reports to the Early Childhood Director
- Work with the Directors to respond to/address the needs and concerns of parents, families, and staff.
- Answer telephone calls and emails and respond to questions regarding our programs/camp, enrollment, schedule tours for prospective families, meet the needs of current parents, and direct all other calls accordingly.
- Process Early Childhood Center registrations and Summer Camp applications and communicate with necessary departments to ensure a positive, smooth customer experience.
- Support Directors in staff and child file maintenance, ensuring required paperwork is turned in by each person and filed appropriately.
- Fulfill licensing needs for Louisiana Dept. of Education and other supervisory agencies
- Maintain staffing schedules and fill educator absences with support staff as needed.
- Create and regularly update schedules, program rosters, attendance, and other important lists/documents (e.g., allergies, parent notes).
- Perform administrative duties for the department, which include but are not limited to scheduling, creating and sending out letters and emails, scanning, photocopying, and printing pictures/documentation.
- Arrange meeting spaces and setups for scheduled events.
- Support for Enrichment programs and department specials by coordinating with instructors, classroom educators, and families the arrival and dismissal of ECC students to and from activities and programs
- Process and maintain auxiliary services (i.e., school lunch, challah, enrichment classes) to ensure orders are complete, and maintain communication between families, classrooms, and service providers.
- Facilitate tours for interested families and serve as a welcoming point of contact for new or prospective parents.
- Schedule therapist visits to classrooms and coordinate with educators and support staff to ensure smooth integration.
- Provide logistical and hands-on support for special events such as Family Shabbat, Marks Park Day, and the Purim Festival.
- Assist with daily carpool operations to ensure a safe and efficient arrival and dismissal process for students.
Qualifications
What You'll Bring:
- Candidates must be at least 21 years of age
- Bachelor's Degree and/or at least 2 years working as a coordinator.
- Demonstrated experience in customer service and working with the public.
- JCC or similar non-profit experience is a plus. Will need to take infant/child CPR each year.
- Excellent verbal and written communication skills, including the ability to effectively communicate with internal and external customers
- Excellent computer proficiency (MS Office – Word, Excel, Google Suite, and Bright wheel)
- Must be able to work under pressure and meet deadlines while maintaining a positive attitude and providing exemplary customer service
