Job Description

Basic Purpose 

The IT Asset Management Specialist is a senior-level, hands-on role responsible for building, operating, and continuously improving the technology asset lifecycle for the Oklahoma Tourism and Recreation Department (OTRD). This position ensures every technology asset—across parks, lodges, offices, retail points, and field sites—is accounted for, procured correctly, tracked consistently, and retired properly. The Specialist will report to the Chief Technology Officer and independently manage vendor relationships, validate invoices, enforce agency and OMES standards, and ensure the department stays aligned with its IT budget and asset replacement strategy. Essential functions of this position will include Asset Lifecycle Management, Vendor & Procurement Management, Compliance & Standards Alignment, Field Support & Operational Awareness, and Report Production and Distribution.   

Typical Job Duties 

  • Develop and maintain end-to-end IT asset lifecycle processes, from purchase to surplus. 

  • Maintain accurate inventory of all agency technology assets, including: computers, mobile devices, networking equipment, printers/copiers, POS systems, radios, cameras/security devices, and software licenses. 

  • Implement consistent tagging, documentation, and tracking practices across distributed environments. 

  • Monitor warranty status, refresh cycles, and end-of-life timelines to reduce downtime and unplanned purchases. 

  • Establish a bench-stock system, forecast replacement needs, and maintain appropriate inventory levels. 

  • Serve as primary point of contact for technology asset vendors, including hardware providers, cellular carriers, printer OEMs, POS vendors, and equipment service partners. 

  • Validate invoices and receipt of goods, ensure proper billing, and escalate discrepancies. 

  • Participate in vendor evaluations and provide data-driven recommendations regarding renewals and replacements. 

  • Coordinate with internal teams and external providers on repairs, returns, and warranty claims. 

  • Work directly with the OMES IT Asset Management team to align agency practices with statewide standards and required processes. 

  • Ensure proper documentation and workflows are followed related to acquisitions, transfers, surplus, and disposal. 

  • Support adherence to agency budgeting and financial controls related to IT equipment and licensing. 

  • Maintain an audit-ready asset posture at all times. 

  • Create, maintain, and distribute reports using Excel, SharePoint, and asset management tools. 

  • Use asset data from Tanium, MDM systems, and vendor portals to validate accuracy and identify anomalies. 

  • Track asset costs, replacement forecasts, and lifecycle performance metrics. 

  • Provide dashboards and data insights to leadership as needed. 

  • Conduct onsite asset validation and assist in equipment deployment or removal as required (10–20% travel to OTRD locations). 

  • Assist with basic troubleshooting or vendor coordination when assets impact operations.
