Position Summary:
You are based out of Lawrenceville NJ. We are seeking a Self-Driven Administrative Specialist Level 2 to support the CEO and Leadership Team by managing a variety of administrative tasks that enhance operational efficiency. This role involves digitally managing agreements, coordinating schedules, handling confidential communications, and assisting with meetings and events. The ideal candidate is organized, proactive, and skilled in Microsoft Office, with a strong ability to prioritize and communicate effectively.
Essential Duties and Responsibilities:
As a Datacolor Administrative Specialist Level 2, you will spend most of your time:
- Managing the signing, routing, and secure digital filing of a variety of confidential company documents, following directives from the CEO and Leadership Team.
- Support the CEO and Leadership Team with calendar management, global travel arrangements, and coordination of multiple meetings, while providing support to other employees traveling internationally as needed.
- Facilitate communication with global staff at the request of the CEO or Leadership Team members.
- Assist various departments with diverse tasks and projects to enhance overall company efficiency and productivity.
- Manage daily office functions such as receiving visitors, logistical coordination for team events and coordinating lunches for on-site group meetings.
- Responsible for effective vendor management of office supplies and catering.
- Help drive employee engagement by being a member of the “Site Committee”, organizing employee activities.Experience & Qualifications:
- A bachelor’s degree or a minimum of 3-5 years working as an Administrative Specialist.
- Advanced proficiency with Microsoft Office 365.
- Maintain strict confidentiality of all information accessed or discussed.
- Highly flexible taking on new tasks and responsibilities.
- Driven to constantly improve your own efficiency.
- Strong organizational skills with attention to detail.
- Proven ability to prioritize and manage multiple tasks simultaneously with little direction.
- Strong professional communication skills.
- Experienced in organizing international travel is a plus
Location: Lawrenceville, NJ: The role is hybrid (Tuesday and Wednesday in office) in line with current company policy. You may on occasion need to be in the office to support certain projects on other days.
