Function: 

Performs various secretarial duties using good judgement in exercising those procedures. Primary duties include assisting the coordinator in the development and production of catalogs, manuals, guides, handbooks, administrative documents, and research studies and ancillary documents; maintaining records of budget allocations; preparing and logging purchase requests for furniture and equipment for schools and other spaces; disseminating information on Assessment and Accountability including Teacher Incentive Allotment program; compiling reports; sending communications; answering the telephone; and handling other duties as assigned. Additional duties, include preparation of applications, documents, publications, bulk mailings; compiling student data for reports and compiling data according to specified policies and requirements; and providing information for parents, students, and campus personnel. 

 

 

Reports To:

Coordinator for Assessment and Accountability

 

 

Responsibilities:

  • Prepares catalogs, guides, handbooks, research reports, documents, letters, requisitions, and other information documents as needed.
  • prepares illustrations, layouts, and designs as directed
  • Types letters, memoranda, reports, transmittals, and schedules as needed
  • Proofreads all documents for spelling and typographical errors
  • Maintains confidentiality
  • Coordinate calendars, schedule meetings, and serve as the first point of contact for internal and external stakeholders related to the assessment, accountability and TIA program
  • Maintains a collection of assessment and accountability board reports, memos, meeting agendas, presentation materials, and program updates shared with educators and administrators districtwide
  • File management of teacher assessment and accountability records
  • Advance and Out-of-District Travel Accounting of Trip forms
  • Assist in developing forms, reports, presentations, and procedures
  • Organizes materials, tasks, assignments, and other activities related to the Office of Assessment and Accountability
  • Maintains budget reports through the business information system and Excel spreadsheets detailing expenditures
  • Creates systems that adhere to the protocols of the district and increase efficiency and effectiveness
  • Makes travel arrangements, including hotel and airline reservations for out-of-district meetings/conferences
  • Maintain emotional control under stress
  • Make quick and effective decisions
  • Makes appointments, schedules meetings, and assists in making arrangements for meeting places and in contacting participants for various meetings and activities and maintains a calendar of daily activities
  • Duplicates and distributes copies of pertinent information to personnel within other departments and to campuses as needed
  • Maintains an up-to-date record on all matters concerning testing and other pertinent information necessary for the Coordinator of Assessment and Accountability
