EHS Department Administrative Assistant Overview
• The Kinetik EHS team is comprised of 29 field and office Environmental, Health and Safety, Pipeline Safety Compliance, and Pipeline Integrity personnel. The EHS departments supports field operations to meet compliance and operational needs around Environmental Compliance, Pipeline Integrity, Pipeline Safety, Personal Safety, Process Safety, Risk Management and Occupational Health. To support the EHS organization the primary job of the EHS Administrative Assistant is to support the EHS team in performing administrative services, scheduling, and document control for the team of Safety, Environmental, Regulatory, VP, Directors, Managers, Supervisors and Specialists as needed.

Essential Duties and Responsibilities:
• Greet EHS guests entering the building, answering any questions, providing directions, and alerting EHS staff when someone is there to meet or visit them. EHS visitors include regulatory agencies, contractors, and sales representatives.
• Review PNC charges for the EHS team each month to ensure receipts are attached to the reports.
• Ensure the EHS team has resources needed to perform job functions, such as office supplies and mailing supplies.
• Arrange food orders as requested, including set-up and clean-up as appropriate for team needs.
• Update calendars and schedule meetings, including booking meeting rooms and arranging for meeting room needs for the EHS team.
• Coordinate third party HSE training as requested by the EHS team.
• Order HSE equipment and supplies as directed from approved vendors to maintain minimum identified inventories in Midland EHS supply locations.
• Develop and maintain presentations for EHS group such as:
◦ Safety Meeting Presentations
◦ Training Presentations
◦ EHS Department Presentations
• Perform other clerical duties such as organizing and updating shared electronic files, filing regulatory reports both electronic and paper, photocopying, and faxing
• Provide support in the Frontline system for incident reporting, LMS reporting and MOC reporting.
• Perform data entry in the Frontline system to maintain up to date records and information.
• Provide Everbridge support including training new employees as required.
• Provide EHS orientations to new employees during new employee orientations as requested.
• Collect and track compliance data: Texas Railroad Commission (RRC), Occupational, Safety, and Health Administration (OSHA), Texas Commission on Environmental Quality (TCEQ), Spill Prevention Control and Countermeasures (SPCC), Emergency Planning and Community Right to Know Act (EPCRA), Pipeline and Hazardous Materials Safety Administration (PHMSA),
• Track incident, management of change (MOC), pre-startup safety review (PSSR), job observation, and audit action items to closure.
• Deliver to the USPS/UPS/FEDEX materials needed to be sent with tracking and manage the receipts, documentation and records of submittals as requested.
• Perform any additional tasks and provide resources/support as requested by supervisor

Education and/or Work Experience Requirements:
• 2 years of proven work experience as a Corporate Admin, Front Office Representative, or similar role
• Proficiency in Microsoft Office Suite
• Hands-on experience with office equipment (e.g., fax machines and printers)
• Professional attitude and appearance
• Solid written and verbal communication skills
• Ability to be resourceful and proactive when issues arise
• Excellent organizational skills
• Multitasking and time-management skills, with the ability to prioritize tasks
• Customer service attitude
• High school degree: additional certification in Office Management is a plus

Working Conditions:

• Prolonged periods of sitting at a desk and working on a computer
• Must be able to access and navigate each department at the organization’s facil
