Monday - Friday 8:00am to 4:30pm or 5:00pm
JOB SUMMARY
This position supports the CEO and Executive Leadership Team and interacts closely with various departments within the District, as well as external clients. It is essential that this position maintains a high degree of confidentiality. Responsibilities include a full range of executive support, including writing and editing business documents, facilitation of meetings and presentations, and the implementation of projects. Responsibilities also include quality reporting, monitoring of quality scores and payment contracts, and fact gathering for decision support.
ESSENTIAL DUTIES AND RESPONSIBILITES
- Complete a broad variety of administrative tasks that facilitate the CEO and Executive Leadership Team’s ability to effectively lead the organization, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing, proofreading and preparing correspondence; maintaining contact lists; and completing expense and mileage reports.
- Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO and the Executive Leadership Team, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect the CEO and the Executive Leadership Team’s style, organizational culture and policies.
- Provide sophisticated calendar management for the CEO and Executive Leadership Team. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
- Clerk of the Board.
- Act as point of contact for patient feedback and grievances.
- Assist in the development, maintenance, and optimization of the SharePoint Intranet, Policy Library, and Contract Management System to ensure seamless access, organization, and efficiency across the organization.
- Assist with Marketing.
- Timecard Support.
- Responsible for Public Records Requests.
- Provide Notary Public service.
- Work with administrators to ensure preparedness for meetings to include equipment setup and materials.
- Correspondence for the CEO and Executive Leadership Team including emails, memos, letters.
- Answer phones & relay messages.
- Analyze and proofread reports and correspondences as assigned.
- Assist the development and implementation of special events and attend, unless not required for an event.
- Serve as a role model for all co-workers by setting an example of high standards in dress, conduct, cooperation and job performance.
- Enjoy a fast-paced, dynamic work environment.
- Be highly organized and attentive to detail.
- Have good focus and follow-through, requiring minimal follow-up by the CEO and Executive Leadership Team.
- Have the ability to keep aware of current issues within the District.
- Perform other related task/duties as may be requested or assigned by CEO and Executive Leadership Team for the effective and efficient function of District operations.
PROFESSIONAL REQUIREMENTS
- Meets dress code standards for the department; appearance is neat and clean.
- Checks work email and instant messages frequently throughout the day.
- Completes all mandatory education within given time-frame.
- Maintains regulatory requirements.
- Reports to work on time and as scheduled.
- Wears identification while on duty; uses computerized punch time system correctly.
- Represents the organization in a positive and professional manner in the community.
- Attends annual review and department in-services as scheduled.
- Attends at least 75% of staff meetings; reviews all monthly staff meeting minutes.
- Actively participates in the department’s quality improvement (QI) activities.
- Complies with all organizational policies, employee handbook and follows ethical business practices.
- Communicates the mission, vision and values of the organization as well as the focus of the department.
