JOB SUMMARY/ESSENTIAL JOB FUNCTIONS:  The Medical Student Associate serves as the administrative support to the Undergraduate Medical Education (UME) Assistant Dean, Medical Student Campus Coordinator, UME department and the Neurology and Psychiatry Clerkship. This position assists with all aspects of the UME department for third- and fourth-year medical students, including orientation, onboarding, and day-to-day/month-to-month operations. This position coordinates third- and fourth-year medical students rotating through Neurology and Psychiatry departments. 

  1. Prepares rosters for the Chattanooga campus for each block.
  2. Coordinates student housing requests/needs and serves as the main contact for Corporate Quarters.
  3. Coordinates with Erlanger departments for EOL/EPIC training, scrub credits, ID badges, and meal card reloads.
  4. Serves as Chief Proctor for Medical Student and PA exams; creates proctor schedule with guidelines from Memphis.
  5. Prepares handbook, calendar, and lecture schedule.
  6. Meet with the Clerkship/Assistant Clerkship directors for assistance with scheduling students
  7. Assists with medical student orientation.
  8. Enters reimbursements and invoices for the UME department into DASH/Oracle for processing.
  9. Assists the Dean's Office with Faculty Affairs paperwork for appointed faculty at the request of the UME Dean.
  10. Performs other duties as assigned. 

MINIMUM REQUIREMENTS:  

EDUCATION:  High School Diploma or GED. (Bachelor’s Degree preferred.) (TRANSCRIPT REQUIRED)

EXPERIENCE: Four (4) years of administrative experience; OR Associate’s Degree and two (2) years of administrative experience; OR Bachelor’s Degree in lieu of experience. 

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge of Microsoft Office to include Word, Excel, and PowerPoint.
  • Ability to provide good customer support to students, faculty, staff, and residents.
  • Strong interpersonal skills, professionalism, and communication skills in working with others.
  • Excellent organizational skills with the ability to plan, organize, and schedule.
  • Ability to multitask and manage multiple activities at a time. 
  • Ability to adapt to change and learn new skills.

WORK SCHEDULE: This position may occasionally be required to work evenings. May require occasional overnight travel.
