Minimum Requirements:
Must possess a high school diploma and one year of experience.
Duties and Responsibilities:
Prepares budget reports for the Office of Planning and Budget for allocation of rent for all divisions and provides budgetary information for the Legislative Budget Request. Communicates with department budget staff regarding all leasing needs and informs staff of rental rate adjustments and status of all leases.
Prepares all Requests for Proposal (RFP), Quote Submittal forms to issue to the public for competitive bid process for all leases. Ensures all guidelines are met and are in compliance with Department of Management Services (DMS) Leasing Policies & Procedures. Negotiates rental rates with current lessors to provide cost savings to the department on all leasing renewals. Determines cost-effective methods to consolidate offices, renew or modify leases. Serves as Chair of the Evaluation Committee when performing on-site evaluations of facilities. Maintains accurate lease files. Completes lease agreements and prepares all necessary leasing documentation. Communicates with lessors to remain in compliance with lease agreements.
Serves as liaison for Building Managers and department staff for all department facilities. Serves as Project Manager for all agency construction/renovation projects statewide
Responsible for the facilities inspection program for the department, and as such, travels to each facility at least annually to inspect the building and ensure the lessor is in compliance with all requirements of the lease and any RFP issued for obtaining space. Reports to Safety Coordinator any safety issues identified during routine inspections.
Serves on the department’s Move Committee which is responsible for planning and directing all moves and relocations and provides information for and assists with all modular furniture requests..
Where You Will Work:
This position is responsible for the facilitation and administration of all leases for the department. Monitors and coordinates all facility maintenance throughout the state on behalf of the agency. The incumbent of this position must be knowledgeable of Chapter 255, F.S. and stay abreast of all Department of Management Services Leasing Policies and Procedures.
