About the role

Position Summary:

Provide project management coordination and leasing support to the Retail.
Amenities team of the Irvine Company Office Properties. This position will work as a liaison between ICOP departments and the team to coordinate and track project and lease activities to ensure cross-functional visibility, communication and alignment on deadlines, deliverables and initiatives. In addition, this position will provide the opportunity to lead and serve as the subject matter expert for several special projects for the Retail Amenities team. Part of a team, which includes a Director of Retail Amenities, Leasing Director and Manager of Retail Amenities that strategizes to meet the goals of the Office Amenities team.

Job Duties:

  • Responsible for generating deal sheets, DocuSign and other documentation processes in Salesforce to ensure adherence to the Company’s leasing policy, and tracking the Lease status through completion.
  • Support the operational, financial and management activities of the Retail Amenities team.
  • Act as Salesforce subject matter expert for the team and ensure the accuracy of leasing data entered into Salesforce.
  • Act as a subject matter expert for the various sales report dashboards and POS functionality.
  • Support and participate in the quality assurance program of the managed amenities.
  • Identify improvement opportunities, collaborate on solution options.
  • Communicate with internal teams and customers to ensure the accuracy of project tracking data and adherence to deadlines.
  • Assist in completion and continued enhancement leasing activities to develop cross-functional collaboration and efficiency.
  • Provide project coordination support to the team including assistance in preparing presentations for the leadership team, ad-hoc financial and operational reporting, industry research, and other special projects.

Minimum Qualifications / Other Expectations:

  • Strong Academic Background. Bachelor’s degree in Business administration, Real Estate or related field preferred.
  • Minimum five years of experience within corporate environments, hospitality, commercial real estate, retail leasing or business/financial consulting.
  • Basic knowledge of business operations, financial analysis, and summarizing large data sets. Must be able to work with Google Workspace and Microsoft Office Suite; knowledge of Salesforce, Smartsheet and Tableau softwares & applications and retail restaurant point of sale systems a plus.
  • Basic knowledge of leasing documents and real estate principles.
  • Superior Communication Skills. This position will be expected to interact in a professional environment with individuals at all levels of the organization including outside vendors as needed. The ideal candidate will be able to develop credibility across the Company through both quality of work product and interpersonal interactions.
  • Self-Motivated Work Style. Must be comfortable taking the initiative to learn and own work products and processes. This position requires being highly organized and sharing the Company’s passion for attention to detail. Expectations include the highest standards of accuracy, ability to think creatively, and a willingness to embrace change and ambiguity.
  • Comfortable working in a professional, team oriented, deadline driven and fast-paced office environment.
  • Must possess a willingness to roll-up sleeves and work with team members in a hands-on capacity, and to contribute positively to a collaborative culture. All team members are expected to both own their area of expertise and contribute on new projects as needed.

 Compensation:

Base Pay Range: $66,600.00 - $104,500.00

 

Actual placement within this range may vary based upon, but not limited to, relevant experience, time in role, base salary of internal peers, prior performance, business sector, and geographic location.
