St. Edward's University of Austin, Texas invites applications for the position of Assistant to the Dean for Academic Support. The Assistant to the Dean for Academic Support works in the School of Arts and Humanities. The person in this role provides complex budgetary and academic administrative support for the Office of the Dean. This individual assists the Dean in advancing the school's missions in teaching research, and service while facilitating the interaction of the Dean with campus, system and community members.
QUALIFICATIONS: A bachelor's degree from a regionally accredited institution, and at least three years of progressively responsible administrative/executive level management support experience or a combination of education and experience from which comparable knowledge and skills are required. Must possess excellent administrative, communication and organizational skills. Must possess an unencumbered driver's license and the ability to successfully pass a criminal background check.
Essential Responsibilities Include:
- Perform various day-to-day departmental administrative functions, such as processing office correspondence, reports and meeting documentation for completeness and compliance; a working knowledge of spreadsheet programs and academic platforms is essential.
- Manage budgets in the school under the Dean's direction. Maintain budget records, generate budget reports, act as budgetary liaison with Advancement, Finance, and any other pertinent parties, and provide budgetary oversight to stakeholders within the school.
- Work with department chairs to create/update curricular guides for each major, compile yearly Bulletin changes, oversee waitlists and overload requests during registration, update and maintain course schedules as necessary, and related functions.
- Collaborate with the university's success coaches on establishing policy; support success coaches in questions of academic process and procedures particular to the school.
- Oversee academic administrative processes in collaboration with Associate Deans and Department Chairs.
- Assist the university's Mary Moody Northern Theatre in the hiring of new staff and the establishment of new vendors. Provide other complex administrative assistance to MMNT as needed.
- Research and order budgeted office materials, equipment and academic supplies. Assist with distribution of departmental mail.
- Assist with troubleshooting school equipment issues (ex: stock printer paper, etc).
- Submit work orders for cleaning and maintaining Arts and Humanities spaces.
- Assist with scheduling facilities for school events.
- May serve on Staff Council or other university service.
