Job Summary

Purchasing Assistant Duties and Responsibilities

Summary:

Purchasing assistants This position will be responsible for assisting with all aspects of the procurement process, including sourcing suppliers, negotiating prices, and ensuring timely delivery of goods and services as well as maintaining a good working relationship with the organization’s vendors. This position will also perform market research to get the best deals for the company and ensure timely delivery of products and materials. Attention to detail, strong organizational skills, and ability to effectively communicate with various stakeholders will contribute to the efficiency and success of our purchasing operations.

Responsibilities will include, but not limited to the following:

  • Working with the purchasing manager to run the purchasing department
  • Performing vendor research and selection to enhance profitability, reducing operating costs and boosting efficiency
  • Maintaining cordial working relationships with vendors and supervising vendor activities
  • Managing purchase orders, overseeing shipping schedules and maintaining purchase records
  • Working with warehouse staff to compare deliveries with purchase orders to identify discrepancies
  • Monitor stock levels and identify purchasing needs
  • Track orders and ensure timely delivery
  • Update internal databases with order details (dates, vendors, quantities, discounts)
  • Conduct market research to identify pricing trends
  • Evaluate offers from vendors and negotiate better prices
  • Maintain updated records of invoices and contracts
  • Follow up with suppliers, as needed, to confirm or change orders
  • Liaise with warehouse staff to ensure all products arrive in good condition
  • Any other duties as assigned
