The Department of Biochemistry and Molecular Biology has an exciting opportunity for a Senior Administrative Assistant position. The incumbent performs a variety of clerical functions and office support activities for the assigned department(s) to facilitate the office's efficient operation.  

           

CORE JOB FUNCTIONS        

1.    Supports department and/or department leadership with daily clerical tasks.

2. Collects, reviews, and analyzes complex and/or confidential data and prepares reports, charts, budgets, and other presentation materials.

3. Respond to or route non-routine, priority, or confidential inquiries from external or internal sources with correspondence or other messaging on behalf of department leadership.

4.    Plans meetings and takes detailed minutes, as needed.

5.    Answers phone calls, provides information to callers, or connects callers to appropriate staff.

6. Schedule appointments and update calendars.

7. Make travel arrangements and reservations for department leadership and staff, as needed.

8.    Composes and types correspondence, such as informative materials; creates spreadsheets and presentations.

9.    Greets and provides general support to visitors.

10. Develop and maintain a department filing system.

11.    Adheres to University and unit-level policies and procedures and safeguards University assets.

CORE QUALIFICATIONS                                                                                                                                  

  • High school diploma or equivalent required, associate’s degree preferred

  • Minimum 3 years of relevant experience

Department Specific Functions

1.    Management of day-to-day activities including calendars, scheduling/coordinating meetings, screening phone calls 
2.    Assists in processing expense reimbursements, ISD’s, Check Requisitions and other financial paperwork for faculty and the Bionium Institute
3.    Assists in processing visa applications, as needed, for faculty, staff and visiting scholars.
4.    Development of presentations, responding to requests for information and other inquiries
5.    Assist with visa preparation and other HR transactions for the Departmental Chair’s Research Group
6.    Incumbent must possess high-level communication skills, both written and oral
7.    Proficiency in English, both verbal and written. 
8.    Preparation of Quarterly Bionium Institute Newsletter
9.    Website maintenance and social media for the Bionium Nanotechnology Institute
10.    Coordination of the Bionium Seminar Series
11.    Will be responsible for payment of invoices as they related to the BioNIUM Institute
