40Position Summary
Serves as a key team leader within the Department of Pediatric Patient Access Center, ensuring that patients are scheduled with the right provider, at the right location, at the right time, and with the correct information. This position works alongside staff, providing guidance and support to ensure scheduling is handled accurately and efficiently.The lead assists the manager in identifying and addressing scheduling issues, improving workflows, and ensuring that staff follow established procedures. This role requires strong leadership skills to mentor team members, promote teamwork, and help maintain a positive and productive work environment.
Job Description
Primary Duties & Responsibilities:
Schedules, reschedules and cancels patient appointments requested via phone, fax, email, in-basket, or Epic work que in accordance with guidelines.
Collects demographics and insurance registration for patient appointments, verifies insurance eligibility and obtains and documents necessary referrals in Epic.
Reschedules bumped clinics, as needed.
Assists in management of providers’ schedules, scheduling templates, and master schedules according to physician protocols and management direction.
Supports the manager in maintaining performance standards and addressing any challenges within the team.
Monitors scheduling activities and workflows to identify issues and work with the manager to implement improvements.
Works with physician and/or appropriate personnel to appropriately triage patient phone calls, tasks, and e-mails as needed.
Assists manager with special projects, coordinating training, interoffice activities, programs, distribution of policy/procedure changes, and related administrative needs.
Maintains required skills/competencies and participates in in-services, staff programs, continuing education, and cross-training programs.
Helps motivate staff and team morale.
Serves as trainer and resource to staff members.
Acts as back-up for manager during absence.
