The Legal Practice Assistant (LPA) provides a wide variety of administrative tasks for attorneys and other timekeepers in the Consumer Financial Services Practice Group while delivering a high level of customer service and producing excellent work products.  The LPA will anticipate, plan and proactively meet the business needs of the attorneys and execute assignments demonstrating a general knowledge of the assigned timekeepers’ practice areas and clients to ensure extraordinary client satisfaction.

Essential Duties and Responsibilities: 

  • Perform specialized administrative work for the practice group with strong technical proficiency and understanding of firm procedures.

  • Understand department objectives and activities to anticipate and address team needs.

  • Code and enter timekeepers’ time and costs in the firm's billing system.

  • Coordinate and prepare high-volume client billing, handle complex billing tasks, and maintain knowledge of client billing requirements.

  • Support new clients and business development by managing new matters and conflict checks.

  • Serve as a knowledge resource for the Consumer Financial Services practice group requirements and firm policies, sharing knowledge to improve processes.

  • Process expense reimbursement requests and invoices promptly.

  • Liaise with administrative departments to support attorney workflow.

  • Prepare routine correspondence, route mail, conduct research, and maintain files.

  • Handle complex edits in legal documents.

  • Manage calendars, prioritize meetings, resolve conflicts, and organize schedule changes.

  • Arrange domestic and international travel and submit expense reports.

  • Collaborate with internal and external resources to complete projects.

  • Manage information electronically using the firm’s database and records management systems.

  • Foster an environment of superior customer service, collaboration, commitment, team spirit, pride, and trust.

  • Maintain attorney bar membership and CLE records.

  • Prepare and file legal documents in Federal and State courts, including electronic filings.

  • Prepare legal documents, correspondence, and binders.

  • Maintain confidentiality for client and attorney information.

Knowledge, Skills, and Abilities:

  • Strong interpersonal, written, and verbal communication skills for interacting with diverse groups within the firm, clients, and vendors.

  • Ability to work independently and with a team to ensure efficient workflow.

  • Ability to respond timely to client and attorney inquiries and follow-up as needed.

  • Manage multiple projects in a deadline-driven environment.

  • Ability to work independently with minimal guidance and exercising good judgment.

  • Adapt to changing assignments and priorities by taking initiative, set priorities, and complete assignments.

  • Understand department objectives to anticipate and address team needs.

  • Ability to share knowledge of practice group requirements and firm policies to improve processes.

  • Demonstrate a proactive attitude and willingness to learn.

  • Provide quality client service professionally.

  • Excellent grammar, punctuation, and proofreading skills.

  • Advanced knowledge of Microsoft Office (Word, Excel, PowerPoint).

  • Solve complex problems using multiple sources of information.

  • Strong litigation knowledge of Federal and State court rules.

  • Ability to handle complex and heavy billing.

Education and/or Experience: 

  • A Bachelor’s degree and/or any combination of experience, education or training that demonstrates the ability to perform the duties of the position.

  • Minimum eight (8) years of related preferably within a law firm or similar professional services environment.

  • Experience working in Litigation required.
