The Geology Department at Texas A&M University is looking for an Administrative Associate II to support all front‑office operations and serve as the primary point of contact for faculty, staff, students, and visitors. This role is responsible for answering the department’s main phone line, maintaining office equipment and supply inventory, as well as assist employees and students with a variety of administrative needs. The Administrative Associate II also provides support for meetings, seminars, and special events, including coordinating room reservations and travel arrangements.
Opportunities to Contribute
Provides front‑desk and general office support by greeting and assisting visitors, answering the main phone line and directs calls and inquiries to the appropriate personnel.
Manages incoming and outgoing mail and shipments, including evaluating mail, logging received packages, and preparing letters and packages for shipment.
Serves as a departmental resource on internal policies and procedures, answering questions and assisting with problem solving within the office.
Maintains office operations and supplies, including ordering and stocking office and breakroom supplies, maintaining copiers and fax machines, and processing purchases through the University system.
Acts as a liaison with Facilities and oversees building resources, including coordinating maintenance needs, checking labs and classrooms, maintaining key inventory, and assisting with annual inventory certification and surplus.
Supports graduate student office logistics, including assisting with room assignments, coordinating key access, and ensuring offices and university property are returned properly at graduation.
Coordinates travel arrangements for visitors, including seminar speakers, faculty candidates, and other guests.
Supports planning and execution of meetings, seminars, workshops, and special events, including scheduling, purchasing food, and logistical coordination.
Serves as host or greeter for special events, including events held after business hours or on weekends.
Qualifications
High School Diploma or any equivalent combination of education and experience.
Two years of experience in general office or clerical work.
Ability to move moderate weight objects.
A well-qualified candidate for this position will also possess:
Associate degree.
Prior experience making travel arrangements for multiple people both domestic and international.
Prior experience planning special events and set up.
More than three years of experience in general office or clerical work.
Previous experience managing webpage updates, including text, images, and multimedia content.
Ability to effectively communicate both orally and in writing.
Ability to positively and professionally interact with staff, groups of various sizes.
Ability to multitask and work cooperatively with others.
Strong interpersonal and organizational skills.
Knowledge of word processing, spreadsheet, and database applications.
Salary: Compensation will be commensurate based on the selected candidate's education and experience.
