The Impact You’ll Make in this Role

As an Executive Administrative Assistant, you will provide advanced administrative support to the Senior Vice President and General Auditor by handling a wide variety of administrative duties as delegated. You will apply highly developed administrative, organizational, and coordination skills to complete activities. The person selected will act independently on standard procedures and handle non-routine situations through interpretation of guidelines, policies, and standard practices. Here, you will make an impact by :

  • Partners with Executive to achieve daily rhythm based on their needs.
  • Forms/builds key relationships with internal/external contacts.
  • Create Purchase Orders (PO) and approve invoices in SAP.  Periodically reconciling with contact from PwC, Ernst Young and Deloitte
  • Navigating the Archer platform by creating audit programs as needed for the global audit team and assisting with statutory audits, approving and closing annual remediation plans
  • Under minimal general direction, prepares periodic reports and other business documents from multiple sources using a variety of platforms (Microsoft Excel, PowerPoint, Word, etc.).
  • Responsible for the proper procurement of meeting and conference arrangements, food purchases, etc., using the Corporate Meeting and Expense Credit Card as well as miscellaneous purchases and bill payment using the Corporate Purchase Card in strict adherence to all corporate policies and procedures.
  • Maintaining records, notes, and documents and files that often include sensitive information and exercising discretion in all matters of confidentiality.
  • Assist with Visa, preparing invitation letters, business letters as requested
  • Complete administrative tasks associated with the onboarding of new hires for Corporate Audit
  • Schedule quarterly 3M/PwC close meetings with the assistance of other Executive assistants.

Your Skills and Expertise 

To set you up for success in this role from day one, 3M requires (at a minimum) the following qualifications:

  • High School diploma, G.E.D or higher (completed and verified prior to start)
  • Five (5) years of administrative assistant or customer service in a private, public, government or military environment

Additional qualifications that could help you succeed even further in this role include:

  • Completion of advanced administrative, business-related courses or core collage curriculum.
  • Broad knowledge of standard computer and software use.
  • Three or more years of related administrative assistant experience
  • Maintaining an open requisition and acting as the hiring manager for approximately 70 contract workers (PwC, EY and Deloitte) in workday, performing onboarding and system access
  • Scheduling and managing appointments, arranging travel and reimbursements for executive and other staff as assigned.
  • Distributes/routes audit reports from the Corporate Audit email account while monitoring email in an accurate and timely manner.
  • Independently responds to a broad range of internal and external inquiries and requests.
  • Responsible for the department organization chart, report distribution lists, Corporate Audit Café Connections, Blackline licenses and Grammarly licenses for the department.
  • Understand company’s and Executive’s priorities to resolve or progress issues, establish priorities, and respond to support needs where appropriate and practical.

Maplewood, MN

  • Hybrid Eligible (Job Duties allow for some remote work but require travel to Maplewood, MN least 2 days per week)
