About the Role
As a Medical Records Clerk, you ensure our digital records are complete, accurate, and easily accessible. You organize, maintain, and retrieve electronic documents with precision, supporting clinical operations and protecting the integrity and confidentiality of patient information. You’ll work closely with administrative and clinical teams to uphold high standards of documentation quality and compliance.
Location: Remote within the U.S.; preference for those located in Eastern or Central time zones.
Office Hours: Monday–Friday, 8am–5pm
What You’ll Do
Keep the record clean, complete and organized:
- Scan and index medical documents with accuracy that supports clinical and administrative workflows.
- Apply consistent naming conventions so records stay structured and searchable across systems.
- Maintain logs and metadata to support auditing, reporting, and workflow transparency.
Protect the data, every step:
- Uphold HIPAA confidentiality and regulatory standards across all record-handling activities.
- Provide authorized access to records quickly and correctly, supporting care delivery and operations.
- Support documentation quality through validation, routing, and issue-spotting as records move through the system.
Be the HIM Connection Point:
- Fulfill inbound record requests from patients, providers, hospitals, payors, and internal teams.
- Support cross-functional information flow so data stays aligned from intake to clinical care to billing.
- Support evolving HIM workflows as new processes, tools, or operational needs emerge.

About You
You Bring:
- 1–2 years of experience in medical records, administrative support, or data entry (electronic filing experience preferred)
- High school diploma or equivalent
- Proficiency with digital tools including Google Suite, Microsoft Office, and document management systems
- Exceptional attention to detail and strong organizational skills
- Ability to handle sensitive information with discretion and professionalism
- Familiarity with HIPAA and records retention guidelines (preferred)
- Clear communication and strong interpersonal skills
- Ability to prioritize and manage time effectively
