SUMMARY OF JOB
Provide support to the Project Manager and/or Construction Manager on one or more aviation projects in the areas of project management, contract administration, document control and general administrative support. Perform additional responsibilities as directed by the Project/Construction Manager.
ESSENTIAL DUTIES AND RESPONSIBILITIES - Includes the following. Other duties may be assigned.
Assist in the preparation of the project-related documents (meeting minutes, reports, correspondence, etc.).
Provide support to, and as directed by, the Project/Construction Manager, including activities related to:
- Progress payments of design consultants and construction contractors.
- Submittals and Requests for Information (RFI’s.)
- Shop drawings.
- Project-related correspondence.
- Daily and special inspection reports.
Manage the project office; safeguard and maintain the equipment (office and vehicular.)
Maintain (and implement as needed) an appropriate document control system for the project(s).
Assist with project controls and quality issues and related reporting requirements.
Assist in the review and processing of progress payments.
Assist in tracking and documenting non-conforming work.
Assist in processing change orders, claims and revisions to the contractual schedule and budget.
Research technical (drawings and specifications) and contractual issues related to design and construction contracts.
Coordinate and communicate with design consultants, construction contractors, and others as necessary to expedite the timely resolution of issues.
Perform any required inspections by local building authorities, owners, and lenders.
Accounting Administration:
- Assist Project staff with accounting and maintenance of cost reports.
- Assemble Monthly Pay Requests to Owner.
- Process monthly billings from Subcontractors.
- Assist Project staff with maintaining Project Management Database.
- Become familiar with and utilize Field and Job Cost Procedures.
- Project cost review, reporting, updating and accounting.
Reporting:
- Assist staff in assembling Progress Reports to the Owner.
- Track and maintain subcontractor and supplier records / requirements.
- Assist staff in maintaining the Project Management Database.
- Track and verify vendor compliance to contracts, change orders, insurance, lien releases, files, etc.
- Ensure timely management of any project reports, and financial reports.
Technical Skills
- Strong project management and communication skills.
- Proficiency in Microsoft Office suite including Powerpoint, Word, Excel, Teams, etc.
Internal Interfaces with:
- Accounting - discuss costs monitoring.
- Preconstruction - assist in estimating new work.
- Project Manager/ Superintendent - works together as a team; establishes and maintains a project responsibility matrix, schedules, and budgets; coordinates changes; and monitors the quality of work.
- Legal/Risk Mgmt. – Ensure appropriate coverage and licenses are in place and reporting of incidents and claims.
- Human Resources – Ensuring that all recruiting/on-boarding and close-outs initiatives are done timely. Attends appropriate training and development. Become fully familiar with the Company’s policies and procedures, and Performance Management System.
- IT – Project setups and technology connectivity.
External Interfaces with:
- Clients - maintain relationships with client managers and pursue opportunities for repeat business.
- Owner and Architect - develop and maintain a professional working relationship.
- Local authorities - obtain necessary project licenses and permits.
