What you will be doing in the role of Manager, Event Planning Experience
The Manager of Event Planning & Execution for the 3-Day Series is part of the Community Development team. This critical role involves managing the planning and execution of the signature 3-Day event series. Working with the Senior Program Manager, the Manager ensures best practices and standards are followed throughout the event planning process, using planning toolkits and managing third-party agencies and vendors. They collaborate with cross-functional staff and market leaders to create a unified experience from concept to execution, achieving overall event goals.
What you will bring to the table
- Collaborates with the Sr. Program Manager, 3-Day Series, and the third-party logistics company as the project manager for participant travel needs, from program details to weekend-of execution, ensuring data security and event standards are met.
- Manages the third-party logistics company, handling overall event logistics and materials, when applicable, to ensure all aspects of event planning and production, participant travel, and volunteer and crew management are executed pre and post campaign.
- Oversees the 3-Day Crew and volunteer program, ensuring data security and event standards are met, training and credentials, communication and outreach, and overall event experience.
- Monitors, adheres to, and updates event timelines for all events; adheres to deadlines and communicates progress to event series leadership on a regular basis. Identifies and navigates potential roadblocks or challenges.
- Reserves and secures meetings for venues, permits and insurance for assigned events by predetermined deadlines, as needed, with the third-party logistics company.
- Establishes and maintains positive relationships with all parties associated with the events, including local market staff in communities hosting our events.
- Partners with the purchasing team and third-party logistics company to set detailed specifications for, negotiate, and manage specified event contracts including but not limited to staging, sound, video, tents, tables, chairs, porta-potties, dumpsters, facilities, trucks, heavy equipment, and supply vehicles, hotel blocks.
- Collaboratively manages fulfillment, delivery, and distribution of in-kind goods or sponsorship activations secured by the Community Development or Corporate Partnership Team.
- Ensures the timely submission of logistical event information so that TeamRaiser can be built and updated as needed to help drive acquisition and retention.
- Ensures that each event follows all risk management guidelines related to event execution (police, communications, emergency response plans, contingency plans, etc.).
- Partners with the third-party logistics company and lead volunteers to ensure participant safety, crisis communication, and to manage weather-related delays or cancelations.
- Works closely with the Development Operations team to manage and process all contracts, invoices, and payments.
- Tracks expenses and adheres to approved budgets for all events while looking for cost saving measures.
- Other duties may be assigned as needed to support event planning, execution, and experience.

- Knowledge of event planning, community organization, program management practices, and techniques.
- Experience with logistical mapping and event diagram software such as MapmyRun, Smart Draw, Canva, etc. is a plus.
