This is a remote position.
Responsibilities

Manage daily email correspondence and ensure timely responses to client and internal inquiries.

Handle inbound and outbound phone calls, providing professional and courteous communication.

Prepare and send reports through Annature and other designated platforms.

Create and process invoices accurately under Accounts Receivable.

Track and follow up on overdue accounts, managing debtor collections under Accounts Payable.

Support general administrative tasks such as client follow-ups, sending letters, notices, and maintaining proper documentation.

Assist in onboarding and offboarding clients, ensuring smooth transitions and compliance with internal procedures.

Prepare and send PAYG summaries and Notices of Assessment (NOA) as required.

Maintain and update client records in CRM or accounting systems.

Coordinate with internal departments for billing, payments, and report consolidation.

Support management in ad hoc administrative or accounting-related tasks as needed.
Requirements

2–3 years of experience in administrative or accounting support roles, ideally within professional services or financial environments.

Strong knowledge of basic accounting processes, including invoicing and collections.

Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with accounting or CRM tools (e.g., Xero, QuickBooks, MYOB).

Excellent communication and organizational skills, with high attention to detail.

Ability to manage multiple priorities and meet deadlines with minimal supervision.

Strong problem-solving and follow-up skills when handling client or account issues.

Professional phone and email etiquette.
Scope

Full-time position supporting accounting and administrative operations.
-
Reports directly to the business owner or senior accountant.

Collaborates with clients, vendors, and internal staff to ensure smooth billing and payment processes.

Work hours aligned with Australian business hours (or client time zone).

Potential for role expansion into bookkeeping or client management depending on performance and business needs.
Monday to Friday from 8 AM to 5 PM with 1 hour unpaid break
