Position Overview: The Administrative Coordinator role is an exciting opportunity for a business and social impact-minded, highly-collaborative, motivated individual to support the Contracts and Internal Audit departments with administrative and project work. This role has visibility and interaction with the Audit Committee of the Board of Directors, as well as with the President’s Office, City agencies, and other executives.

Essential Duties & Responsibilities:

  • Manage calendars for 2 department executives; schedule all meetings, support with logistics, travel coordination, reimbursements, etc.
    • Manage production of support materials for meetings and functions.
    • Create, format, and edit documents and presentations in a variety of formats including Microsoft Word, Excel, PowerPoint, and Visio.
    • Help arrange staff and client meetings, along with any required logistics.
  • Assist Contracts & Internal Audit staff in the onboarding process for new hires.
  • Provide administrative and logistical support to other department staff, as needed.
  • Manage all purchases for both departments using corporate cards and submit timely monthly logs.
    • Overall team budget tracking and invoice payments, aid with the coordination of events (e.g., catering, booking event space, etc.) and travel (flights, hotel, etc.).
    • Manage both departmental subscriptions.
  • Maintain familiarity with departmental projects, City Agency stakeholders (e.g., MOCS, SBS, NYC Comptroller, NYC Law Department), and external partners.
  • Conduct research using web resources (Google, etc.) to obtain company information, phone numbers, and other due diligence information needed for meetings, trips, and presentations.
  • Audit Committee planning, preparation, and organization for 3 Audit Committees, 3 times per year. Duties include:
    • Agendas, scheduling, presentation decks, meeting minutes, Board Effect packages, conference room booking, space set-up and breakdown, catering, audio/visual needs, among others.
    • Proactively confirming attendance and ensuring that a quorum of Committee members is available and present at the meeting.
    • Highly professional communications with Audit Committee members, their assistants, and any other meeting attendees.
  • Manage Contract Office Hrs. requests, coordinate Contracts monthly Task Report submission.
  • Assist Contracts department on internal and external “Reports”
  • Other duties as assigned.

Requirements:

  • 5+ years' work experience with administrative & leadership/project/team support experience
  • High School Diploma or Equivalent; college experience preferred.
  • Demonstrated interpersonal, organizational, and verbal/written communication skills.
  • Detail-oriented with solid follow-up skills and demonstrated problem-solving skills.
  • Demonstrated sense of prioritization and time management.
  • Experience handling multiple assignments efficiently.
  • Ability to adapt to changing priorities and circumstances.
  • Professional demeanor, a positive attitude, and comfort working in a team setting.
  • Interest in government, urban planning, and economic development preferred
  • Proven strength in Microsoft Office, including Outlook, Word, Excel, PowerPoint, SharePoint, OneDrive, Microsoft Teams, Visio, and primary databases such as CRM.
  • Demonstrated interest in promoting innovation in administrative management and willingness to learn new computer tools and software.
  • Ability to work independently successfully and within a team environment
  • New York City residence is required within 180 days of hire 
Salary Range$52,000—$54,000 USD
