Print Production Coordinator, Sr.

Main Objective:
The Print Production Coordinator Sr. is responsible for supporting those working in the Marketing department, as well as internal and external stakeholders, with excellent customer service that is timely, effective, and accurate. Responsibilities include file preparation, outside vendor coordination, in-house production and distribution. Cross-functional department/team collaboration is essential to ensuring that project assignments are resolved in a timely manner.
Essential Duties and Responsibilities:
- Provide high-level of capabilities and service in the production of literature assets
- Work with Production Logistics Analysts to ensure Electronic Change Orders (ECOs) and purchase orders are created prior to sending literature to inventory, as needed
- Proactively deliver timely status updates to requesters
- Communicate with requesters and vendors (via Jira portal, email, telephone, Chatter, or otherwise) in a professional, courteous, and effective manner
- Work for the best interest of the customer, while holding true to governing/corporate regulations, policies/procedures
- Manage project assignments through effective planning and working to clear obstacles and drive project completion
- Preflight print-ready PDFs to ensure the files have been built according to business standards: proper sizes, page count, resolution, bleed, color profiles, rich black builds, and outlined fonts (when necessary)
- Assist in the production of Marketing assets, as assigned
- Work with outside vendors to request/approve quotes, transfer files (WB.PDF and/or mailing lists), and communicate PO#, delivery instructions, and due dates, as well as track the progress of orders, review proofs, provide updates within the ticketing system, receive/disseminate samples and deliverables
- Facilitate the review of internal print proofs with the appropriate stakeholders
- Complete print tasks in a timely manner
- Always note details such as, printed in-house, vendor name, quantity, ETA, ship date, and tracking information
- Maintain appropriate levels of production materials: paper, toner, foam core, etc. and communicate when resources are starting to run low in an effort to avoid production delays
- Schedule service and maintenance of software and production equipment as needed
- Responsible for the development and maintenance of process/workflow guides for the various printers and systems
- Work to identify opportunities for improvement that could improve productivity, efficiency, and effectiveness

Education and Experience:
- 3-years relevant experience required
- High school diploma or equivalent required
- Bachelors degree in related field is preferred
- Medical device industry experience preferred
