Job Description
What you get to do in this role:
Provide administrative support to multiple Marketing VPs by proactively managing calendar priorities and effectively resolving conflicts
Coordinate internal and external meetings including, but not limited to, team meetings, full staff meetings, all hands meetings, off-site meetings, one-on-one meetings, meetings with stakeholders and customers
Support internal meetings by creating proposed agendas and topics, managing relevant meeting notes, and communicating next steps
Assist with special project work to support each team’s goals, as needed
Apply discipline and rigor around meetings, ensuring agendas and clarifying context and purpose with senior leaders you support as well as participants
Manage onsite meetings and act as lead event coordinator to ensure: budget management, food and beverage ordering, social and team building activities, and promoting all planning needs to relevant participants in a timely manner
Effectively interface with employees from other groups within ServiceNow and Senior Executives inside and outside the company, recognizing key stakeholders within the organizations
Expense management duties, which includes submitting expense reports and receipts in a timely manner
Book appropriate domestic and international travel within ServiceNow’s travel policy, taking into account travel Visas, costs and proper documentation
Provide onboarding support for new hires, assist with cubicle assignments, equipment requests, onboarding meeting scheduling and being a point of contact for new hire
Provide onboarding support for new vendors and agencies when needed, ensuring they have the right access and documents/enablement required to get them up and running
Meeting and interview preparation. Provide agendas, resumes and appropriate materials in a timely manner ahead of meetings and interviews
Qualifications
To be successful in this role you have:
6+ years of administrative assistant experience
Proactive, one step ahead work ethic, attitude, and approach
Able to multi-task and juggle multiple calendars, teams and requests
Ability to drive schedules and agendas with deeper understanding of context
Strong teamwork and interpersonal skills, with a desire to offer suggestions and improvements Superior communication skills with the ability to work across all levels, internally and externally High level of confidentiality, discernment and judgement
Desire to grow and take on your own projects and work under pressure while consistently meeting deadlines
Technical wizard with Word, Outlook, PowerPoint, Zoom, Concur Associate degree in Business Administration or related field
