About the role
Administrative Assistant
Chubb is currently seeking an Administrative Assistant in Philadelphia, PA. to provide administrative assistance and office support to the Credit Management department.
Key Responsibilities:
- Maintain calendars and schedules on a daily basis for senior management.
- Make travel arrangements for senior management and staff utilizing company platforms and third-party providers in compliance with approved travel policies (train, airfare, hotel, and car reservations both domestic and international as required).
- Process travel expenses for senior management and staff.
- Arrange meetings, conferences, and video calls internally and externally.
- Assist SVP Credit Management with prioritization, scheduling, and elevation of critical issues and items.
- Assist with the preparation of presentation materials for a variety of internal and external meetings, training sessions, etc.
- Maintain logs of department meetings and conference calls.
- Maintain subscriptions for various credit related data sources and outlets.
- Monitor and report on monthly expenses including researching unusual items as necessary, as well as assisting with expense planning/forecasting processes.
- Utilize Human Resources platforms and tools to assist with department onboarding and offboarding tasks.
- Track Paid Time Off days for department with periodic reporting.
- Circulate and distribute critical correspondence as necessary, follow-up to ensure documents are signed if/when required, and filed accordingly.
- Manage sensitive documents and mailings as needed.
- Maintain department and matrix reporting organizational charts.
- Assist with updating and filing audit and compliance items as needed.
- Complete ad hoc projects and duties as assigned.
Qualifications:
- Strong written and verbal communication and interpersonal skills, and professional telephone etiquette.
- Strong prioritization, organizational, and coordination skills.
- Enthusiastic self-starter with integrity and dedication.
- Detail orientation with ability to be flexible, multi-task, and complete tasks efficiently and accurately.
- Capable of working independently as well as within team settings.
- Ability to recognize and manage sensitive data, documents, and issues and maintain confidentiality.
- Proficient with Microsoft Office Suite, Outlook, and Webex as well as ability to navigate organizational systems, databases, and other applications, as necessary.
Education and Experience:
- Minimum of 3 years of administrative assistant experience preferred.
- High School diploma required. College degree preferred.
