Specific Responsibilities:
This is a Staff Assistant position assigned to the Tuberculosis (TB) Program of the Florida Department of Health (FDOH) - Palm Beach County Health Department (CHD) headquarter at Northeast Health Center. Serves as a Staff Assistant to the TB Program Manager. Work is performed under the supervision of the Senior Human Services Program MGR-SES. This is a varied secretarial and clerical position. Primary responsibilities are to provide clerical and typing support to the TB Program Manager. This position requires independent judgment, initiative, applying general knowledge of business practices and skill in applying instructions to accomplish various job functions.
This position is a designated sensitive position and is required to maintain confidential information in accordance with the Florida Department of Health (FDOH) Palm Beach County Health Department (CHD) Information Security Policy, Protocols and Procedures. Confidential Information Sets: Social Security Data and Clinical Information.
Monitors and assembles employee records for the TB Program Manager ensuring all pertinent information is properly entered. Coordinates and maintains records regarding employees leaves, time and attendance. Assist in collecting, compiling, verifying, copying and distributing information to the TB staff. Creates various correspondence, memos, reports, and other documents of an administrative nature from rough draft and/or oral instructions within the required time frame. Assist in making travel arrangements, appointments and keeps calendar for the TB Program Manager.
Receives, screens, prioritize and distribute incoming mail to the TB administrative staff on a daily basis. Ensures all documents are complete and accurate for signature. Maintains an alphabetical filing system, maintains the TB Program files, reviewing them periodically to ensure all information are current. Arranges training for staff and the community as directed.
Serves as receptionist for the TB Program Manager, greeting visitors, answer telephone, screening calls and routinely handling those not requiring the personal attention of the TB Program Manager. Assist in compiling information to be used in TB Program's periodic reports. Independently maintains office inventory and create purchase requisitions for office supplies and repairs as needed.
Prepares agendas for various meetings. Attends TB staff meetings, in-services and other meetings as directed by Supervisor. Takes minutes, types, Present documents to TB Manager for his review and distributes to the appropriate personnel. Responsible for schedule and adequate usage of the county vehicles assigned to TB Program.
