Responsibilities

Performs a wide range of secretarial and administrative duties to assist with the planning, management, and coordination of the department's overall objectives.  Position is characterized by the need for initiative and the ability to problem solve.  Incumbent must be able to tactfully and effectively communicate hospital policies and procedures to employees, executives, consultants and other individuals both within and outside the hospital.

 

PRIMARY DUTIES AND RESPONSIBILITIES

  • Schedules meetings, appointments and monitors daily schedule of the department.
  • Coordinates meetings, conferences, consultants and special events as needed including meal planning, facility arrangements, material distribution and any associated registration functions.  Makes travel itineraries and reservations as required.
  • Reads and routes incoming mail.  Answers routine correspondence personally.  Composes correspondence for administrative signature using personal knowledge of hospital policies, procedures and programs.  Routes other mail appropriately.
  • Coordinates and prepares mail outs including maintaining/updating distribution lists. May be required to design questionnaires, compile survey results and prepare final reports.
  • May be required to compile statistical reports.
  • Receives and screens calls and visitors.  Handles routine matters personally including researching and resolving employee / patient complaints.  Route others appropriately.
  • Provides status reports regarding ongoing programs and/or deadline compliance as requested.
  • Attends meetings for purposes of recording and distributing minutes.
  • Routinely works with sensitive or confidential information, documents and issues.
  • Maintains a helpful/professional attitude toward staff, patients, physicians and other clients.
  • Practices proper safety techniques in accordance with hospital and departmental policies and procedures. Immediately reports any mechanical or electrical equipment malfunctions, unsafe conditions, or employee/patient/visitor injury/accident to Manager.
  • Qualifications

  • Three (3) years secretarial experience.
  • Demonstrated ability to prioritize, organize, exercise independent judgment and maintain confidentiality.
  • Demonstrated problem solving and decision making abilities.
  • Must possess excellent verbal and written communication skills.
  • Demonstrated knowledge of business mathematics and business correspondence.
  • Typing requirements vary by department, see requisition for requirements.
  • Level of proficiency in the use and application of MS Office (Word, Excel, and PowerPoint) varies by department, see requisition for requirements.
  • Must be able to use dictation equipment.
  • PREFERRED: 

  • One (1) or two (2) years college education.
  • Successful completion of course in Medical Terminology.
  • Prior supervisory experience.
  • Prior health care experience.
  • Successful completion of Professional Secretary's Certification course.

    Legal Services (additional)

  • Six (6) years secretarial experience with a lawyer.
  • Successful completion of recognized Legal Secretaries course.
