As an Operations Associate and Office Manager at Wispr you will be the heartbeat of our workplace, bringing a joyful, energetic, and positive impact to the daily operations of our team. You are a perfect candidate for this role if you love working with people, have exceptional organizational skills, and have a passion for helping others do their best work. You will be responsible for both the day to day operations of the company (including ensuring everyone feels comfortable, supported, and empowered), and special operational projects like helping scale up our user testing and data collection programs. Core Responsibilities

  • Inject your positive energy and outlook into our office environment, creating a welcoming and productive atmosphere.
  • Monitor office supplies, place orders as needed, and negotiate favorable deals with suppliers.
  • Take ownership of keeping our workspace clean and tidy, including tasks like dishwashing and communal area upkeep.
  • Be the go-to person for any office-related requests or assistance required by team members: IT help, building and softwares access, security, utilities, and parking.
  • Lunch Orders: At Wispr we like to enjoy lunch as a team. Ensure the daily meal orders are in place, accurately labeled and ready for our employee lunches. Take ownership of researching new lunch spots to refresh our sheet monthly, with careful consideration of each team member's allergies and dietary restrictions.
  • Assist in planning and executing office events, parties, and team-building activities to boost morale; we’ve gone to art exhibits, go kart racing and everything in between. 
  • Assist with special operational projects, like the scale up of our data collection centers, including recruiting prospective users, screening them, and managing the logistics of our data collection program

Qualifications

  • Energetic and enthusiastic personality with a passion for helping others.

  • Excellent communication and interpersonal skills.
  • Ability to multitask, prioritize, and adapt in a fast-paced environment.
  • Proficiency in basic office software (e.g., Slack, Google Workspace).
  • A "can-do" attitude and a willingness to go above and beyond to create a happy and productive office environment.

Required Knowledge/Skills, Education, and Experience

  • 2-3 years of Office Manager experience
  • Desire to be in a role that involves wearing multiple hats 
  • Experience working at a tech startup
  • Excellent verbal and written communication skills
  • Highly organized with meticulous attention to detail
  • Familiarity with using platforms like Notion, Slack, GSuite, etc
  • Proactive, capable of anticipating needs and taking initiative, requiring little direction
  • Genuine passion for culture, events, and organizational engagement
  • Willingness to step in to assist and support others at all times
