About the role


The Care Operations Specialist (COS) provides administrative support and management of client program scheduling.  The COS works collaboratively with, and serves as a liaison to, the multiple internal departments and external clients supported by the Care Operations team. 


What you'll do

  • Create clients weekly schedules. 20-24 client caseload.
  • Create new scheduled events on the admin site.
  • Coordinate the transition of Units, PODS and age based events.
  • Add care partners to each individual meal daily.
  • Add individual zoom links to all events.
  • Coordinate any upcoming op appointments clients have to accommodate around programming.
  • Coordinate monthly partnership meetings between clients and team to ensure treatment plan is completed by due date.
  • Report and post all functions related to schedules for both patients and multidisciplinary team members both weekly and in the moment.
  • Point person in the event of technical issues, ensuring clients are notified and supported through the process.
  • Liaison between clients and team.
  • Notify appropriate personnel of call-ins and assist with securing coverage and/or rescheduling clients as needed.
  • Notify management of attendance-related issues.
  • Manage scheduling needs and all logistics chats for 4 hour shifts daily.
  • On-call a full weekend every 5 weeks.
  • On-call during the holidays.
  • Update and track new admissions, discharges, and changes in level of care.
  • Other duties assigned by the supervisor.

Qualifications

  • Must be able to multitask and prioritize competing priorities.
  • Ability to make tactical decisions.
  • Extremely organized.
  • Analytical skills.
  • Excellent verbal and written communication skills.
  • Must be comfortable navigating multiple computer/software systems, including custom programs.

Physical and Environmental Requirements:

  • Must be able to operate a computer and navigate applications within a smart-phone, iPhone, MacBook computer and/or tablet.
  • High school diploma required, associates degree in Business, Healthcare Administration or a related field preferred.
  • Minimum of 2 years experience in a staffing/scheduling role within the healthcare industry .
  • Must be able to converse with colleagues via telephone and computer programs.
  • Able to sit for the majority of the shift.
  • Must have reliable internet connection.
  • This is a work-from-home position.  Work should be performed in a private, quiet space with minimal background noise.
